Position Overview:
Express Employment Professionals is seeking a proactive and detail-oriented
Office Administrator
to support a local manufacturer specializing in high-quality underground PVC fittings. This is a full-time opportunity to join a small, collaborative team where your daily work plays an important role in keeping operations running smoothly.
Experience with Sage 300 is highly preferred and will be a major consideration in the hiring process.
This position is ideal for someone who enjoys wearing many hats and thrives in a tight-knit office environment. You will support both administrative and operational tasks, including inventory coordination, order processing, and internal communication with the head office.

Job Description:
Develop and maintain office procedures to support efficiency Create and update workflows to keep daily operations running smoothly Help train team members on office policies and procedures Handle incoming phone calls, general emails, and greet onsite visitors Answer and direct calls professionally Respond to general emails and welcome visitors courteously Enter and receive purchase orders
Accurately enter purchase orders into the system and track their status Experience entering and managing POs in Sage 300 is a strong plus Communicate with vendors or staff to resolve order issues
Receive incoming products and orders (physically and digitally) using company systems
Verify shipments match orders and record receipts in the system Assist with proper storage and handling of materials
Coordinate with the head office for daily receiving, shipping, and invoicing activities
Communicate with the corporate office to ensure smooth flow of shipments and billing Help resolve any shipping or invoicing discrepancies Familiarity with invoicing in Sage 300 is highly valuable
Monitor and maintain office supply inventory
Track office supplies and reorder as needed to avoid shortages Keep supplies organized and accessible
Schedule and coordinate facility services (janitorial, waste removal, etc.)
Arrange and oversee cleaning and waste removal services Address any facility service concerns
Support customer service and accounts payable functions as time allows
Assist with customer inquiries and invoice processing when available Help maintain accurate records for smooth office operation
Qualifications:
Strong preference for experience with Sage 300
- this will greatly accelerate training and daily task efficiency Familiarity with ERP or data management systems such as Oracle, SAP, or similar platforms is helpful Proficient in Microsoft Office applications, especially Excel for data tracking and reporting, Word for documentation, and Outlook for email communication and scheduling Working knowledge of Avalara (tax compliance software) is a plus but not mandatory - willingness to learn is welcomed Strong organizational skills with keen attention to detail Excellent verbal and written communication skills Ability to work independently, prioritize tasks, and manage deadlines in a dynamic office setting Comfortable working in a small team and contributing positively to a collaborative environment
