Executive Assistant to our Production Director - 100% in person at our offices near Universal studios, CA 90068.

We are seeking an Assistant to support both our Production Director (80%), Creative Director/Managing Partner (10%), and our Financial Controller (10%) – ‘The Leadership Team’.

The ideal candidate will be extremely detail oriented, creative, energetic, curious, and born to multitask and manage complexity.

We are an independent, boutique, innovative marketing agency that provides creative solutions from digital and social, to broadcast and experiential, for a wide variety of lifestyle brands. Almost every project we work on is unique. We have a distinctive approach to non-traditional marketing solutions with a heavy focus on entertainment, fashion, food, and wellness.

This role could be a great fit for an experienced Executive Assistant on the West coast who is a parent of young children and trying to work during traditional school hours.

Core Responsibilities

Support the Leadership Team by managing all possible operational and administrative projects. Manage the Production Directors email backlog, calendars & to-do lists. Ensure inbox is well managed, calendar is clean and free of conflicts, and to-do lists are updated on a daily basis. Create time and space for the Production Director and Leadership Team as a whole, to make progress on highest impact projects on a daily basis. Schedule & manage meetings across a variety of company calendars, teams and projects. Take on as many projects as possible to enable Production Director to make progress & drive business forward. Prepare draft communications, such as letters and email responses on behalf of Production Director. Undertake a variety of research projects to support production team, providing headline cliff notes, imagery, pros/cons analysis and recommendations. Manage production resources; research resources (3rd party production companies, specialists, human resources, suppliers and manufacturers), develop resource recommendations, including production capability, timeline and financial analysis. Prepare briefing materials and bid documents for external (and internal) resources to respond to. Develop, reports, presentations and other projects as needed. Manage production contracting and financial paperwork. Source purchase project materials and props as required. Prepare weekly team meeting agenda clearly identifying tasks, goals and objectives, deadlines and responsibilities Proactively maintain a comprehensive understanding of all company projects and assignments – Which client, what is the nature/medium of the project, what are the goals and objectives, and client expected outcomes, key dates, key client, team member and third-party players and their contact info. Prepare expense reports and keep track of required receipts for Production Director. Prepare time sheets for Production Director. Organize address books and other administrative tasks.

Office Management

Assist with managing office supplies – ink to coffee and everything in between. Manage building/warehouse/landlord/maintenance and communications.

Qualifications/Skills

+4 years of experience as an Executive Assistant, Executive Business Partner, Administrative Business Partner, Senior Executive Assistant or other related position. High level verbal and written communication skills. Strong financial (spreadsheet) skills. Displays critical thinking and outstanding judgment. Extensive experience managing inbox, calendar and to-do lists for an executive in a fast paced environment. Proven track record of being able to bring order to chaos for an executive and create time and space for them to deliver their highest impact work possible. Experience dealing with executives, teams and companies distributed across many time zones. Deep understanding and comfort with Google Workspace, Microsoft Office 365, and iOS – specifically presentation software PPT/Keynote, spreadsheets XLS/Google Sheets. Exemplary planning, organizational and time management skills. Strong experience working in and managing video conferencing platforms, specifically Zoom and Teams Marketing/Event/Production Industry background is beneficial. A team player with a great attitude and strong work ethic.
