Job Purpose:
To provide high level administrative and HR support with a strong focus on coordinating complex travel arrangements and schedules for the executive team. This role also supports the Sr. HR Manager in handling daily HR administrative functions, maintaining accurate employee records, and ensuring operational efficiency with professionalism and confidentiality. Essential Duties and Responsibilities: Coordinate and manage all travel arrangements for the executive team, including booking flights, accommodations, transportation, and preparing detailed itineraries Manage executive calendars, schedule meetings, and provide logistical support for leadership events Prepare and process executive expense reports and reimbursement documentation in accordance with company policy Perform receptionist duties including answering calls, greeting visitors, and maintaining a professional front office environment Work closely with the Sr. HR Manager to accomplish departmental goals and initiatives Support internal and external HR related inquiries or requests Maintain accurate and confidential digital and paper-based employee records Track progress, deadlines, and priorities of HR departmental projects Prepare professional documents in Microsoft Word, Excel and PowerPoint Oversee pre-employment Processes including background checks, onboarding packets, and file documentation Draft and send offer letters, termination letters and other outgoing correspondence Conduct exit interviews and process termination paperwork Stay up to date with current HR trends, compliance, and best practices Ensure confidentiality and discretion when handling executive and employee information Perform other duties as assigned by management Qualifications: Advanced organizational and time management skills, especially with complex scheduling and logistics Strong attention to details and accuracy in all tasks Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent verbal and written communication skills Strong customer service orientation and professionalism Ability to multitask and manage priorities under tight deadlines Solid understanding of HR practices, labor laws, and confidentiality standards High level of discretion, integrity, and trustworthiness, particularly when handling sensitive executive and HR information Strong decision-making and problem-solving capabilities Education and/or Experience Required: Minimum of 2 years of experience as an HR assistant (required) Experience coordinating travel and/or supporting executives (strongly preferred) Experience with ADP Workforce Now preferred High School Diploma or general education diploma (GED) is required 1 year of experience in an office environment (preferred) Language Skills Sets: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, and customers. Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs. Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. The ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to determine root cause of problem and determine corrective action. Computer Skills: To perform this job successfully, an individual must have knowledge of Business Operating Systems, Internet software, Word Processing, and Spreadsheet software. Physical Demands: Must be able to occasionally lift and/or move up to 25 pounds. Must be able to activate phone systems utilizing keyboards and buttons. Must be articulate and comfortable speaking in front of others. Regularly works in an indoor/office environment and required to sit and/or use repetitive hand motion. Frequently required to talk, hear, stand and walk. Must be able to work more than 8 continuous hours when required. Must be able to work under stressful situations, have good cognitive skills, maintain work accuracy, and the ability to concentrate on more than one task at a time. Must have the ability to read and discern visual images on a variety of media with 20/20 corrected vision. Must be able to speak and communicate clearly over telephones. Must be in sound physical health as determined by a certified licensed physician with no evidence of the use of controlled substances. While performing the duties of this Job, the employee is occasionally exposed to moving mechanical parts, and fumes or airborne particles.
