Vice President of Finance and Administration Community Foundation for MetroWest The Community Foundation for MetroWest is a community foundation that improves the quality of life in over 30 MetroWest communities—especially for our most vulnerable neighbors. Since 1995 we have been providing financial and educational resources to local nonprofit organizations, sharing essential data about the region to inform decisions, and partnering with donors to help guide and align their giving with the areas of greatest need in the community. We support three key constituents: nonprofit organizations, individual donors, and businesses—in a variety of ways targeted to their specific needs. All of this enables the Foundation to be the go-to resource, and the hub for philanthropy and giving in our region. Job Description Title: Vice President of Finance and Administration Experience: 7+ years Location: Natick, MA Job Status: Full-time, Hybrid Reports to: Executive Director Overview The Vice President is a member of the senior management team and responsible for all functions of financial management and reporting, fund management and administrative support functions, including aspects of human resources and IT/database administration. They also serve as a financial advisor to the Executive Director and leadership team and provide management support to three Trustee committees – Investment, Audit and Finance. Key Responsibilities General Accounting Oversee all aspects of fiscal management, responsible for accounting and financial systems, providing timely financial reports, analysis, and budgets. Present them to the Executive Director and Board of Trustees. Create the Foundation’s annual budget. Gain approval from the Board of Trustees and Finance Committee. Conduct and prepare timely and accurate analyses, summaries and reports of financial data on the operating progress of the Foundation, its investments, and trends. Routinely create and review revenue and expense cycle metrics to identify and address issues affecting overall performance proactively. Manage the Foundation’s compliance with local and federal regulatory matters, national standards, and all internal policies. Coordinate and guide the Audit and Finance Committee – provide staff support including attending all meetings, circulating materials, drafting new policies and procedures. Monitor and review internal systems and controls to facilitate the safeguarding of the Foundation’s assets. Partner with senior leaders to ensure the Foundation hits asset growth, revenue, and expense targets. Ensure accounts payable and accounts receivable are managed timely and accurately. Manage all bank and investment accounts, conduct any rebalance duties Lead financial modeling and strategic planning related to finance and investments. With the accounting team, coordinate with the independent auditors and Audit & Finance Committee the preparation of the annual audit and financial reporting to state and federal agencies in compliance with FASB and GAAP. Investments Supervise, monitor and report on investment activity and performance. Ensure adherence to investment policies. Provide management support to the Investment Committee to develop investment policy and asset allocation and is responsible for coordination of investment management and investment activities. Monitor actual investment asset allocations against strategic targets and review portfolio and checking/investment account rebalancing as necessary in accordance with investment policy statements and portfolio asset allocation targets. Support the Investment Committee by providing appropriate materials in a timely manner and implement its decisions and policies. Maintain communications with the Investment Committee chair and investment advisor to guide the committee’s work and to oversee the portfolio managers’ work and monitor their performance. Work with the investment advisor to produce investment performance reports and deliver them quarterly to the Investment Committee and to the Trustees Monitor compliance with Uniform Prudent Management of Institutional Funds Act Primary relationship contact for investment advisor, bank trustees and portfolio managers. General Administration Oversee contracts, leases, legal issues and non-group insurance Negotiate, review, recommend, and procure adequate property and liability insurance. Recommend policies and procedures to minimize risk to the Foundation. Review contracts with consultants and other service providers. Ensure administrative and regulatory compliance in accordance with legal requirements Payroll & Human Resources Administration Ensure payroll is processed regularly and timely and that all federal, state, and local laws, regulations, and guidelines are complied with. Ensure that Personnel files are kept up to date and contain all legally required information. Maintain security of all personal information. Manage benefits administration, including onboarding and offboarding employees Ensure accurate establishment & coding of new funds, changes to funds, and closing funds. Calculate and post administrative fees on funds Communicate regularly with all departments on fund reporting needs, issues and concerns. Process and review quarterly fund statements Calculate and share annual spending policy amounts for funds using the distribution policy Respond to all audit confirmation requests for Agency Funds Community Investment Tax Credit tracking Review annuity distributions, update for changes including opening and closing funds Supply/review information needed for annual report Other Serve on the senior management team Partner with Director of Operations to review data security and support IT and systems software management Be a leader and mentor to employees

Other duties as assigned Meet with donors and other stakeholders as needed Salary and Benefits: The salary range is $140,000 to $150,000 plus benefits.
