Admin Assistant 2
The Office of Admissions, within the University Of New Mexico - School Of Medicine, is seeking a motivated, self-directed individual to be part of our administrative support team. The incumbent is expected to work both independently and as a team member to perform a wide variety of administrative support services. Primary duties/responsibilities for this position include: Supporting the Admissions office Calendaring for the Supervisor, Academic Advisement Specialist, Program Coordinator, and the Assistant & Associate Dean of Admissions Purchasing and stocking supplies Processing travel and expense reimbursements for faculty and staff Contracting and paying vendors for events Provide front desk support by answering telephones, assisting visitors and resolving or referring a range of administrative inquiries Assist with scheduling medical student applicant interviews Conduct student tours Maintain files Update new information into a database Open, sort, and distribute all incoming and outgoing mail and other correspondence Conditions of employment include: If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required. All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement. Minimum qualifications include: High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. Preferred qualifications include: Proficiency in using Microsoft Office software (Word, Excel, PowerPoint); experience with database programs; experience managing calendars; prior front desk experience; high level of customer service support; good oral and written communication skills. Additional requirements include: Although on-site presence is a requirement of this position, the opportunity for a flexible telecommuting schedule may be available after the probationary/training period. Working hours are Monday through Friday, 8 a.m. to 5 p.m. Occasional weekend and/or evening work may be required during the high-volume season.
