Responsibilities include:
- Serving as the primary contact for patient access for patients and other departments.
- Maintaining provider schedules to meet productivity targets and ensure optimal patient access and provider flow.
- Attending monthly team meetings with physicians and nurses to discuss patient access and scheduling improvements.
- Managing schedules during transitions to new care models when applicable.
- Monitoring physician panels and contacting patients overdue for appointments.
- Tracking patients seen in Emergency Department or Urgent Care and following up with appointment offers.
- Scheduling patient appointments and consult requests via the electronic medical record system, adhering to protocols.
- Answering phones promptly and professionally, directing calls appropriately, and taking accurate messages.
- Gathering accurate patient information, including demographics and insurance details.
- Rescheduling appointments and extending schedules as needed.
- Handling cancellations and no-shows, and notifying clinicians of schedule changes.
- Editing clinicians' schedules for time off, sick leave, or meetings, and rescheduling patients accordingly.
- Ensuring smooth daily flow of patient schedules and front office operations.
- Mailing out new patient packets when necessary.
- Confirming appointments within 24 hours.
- Acting as a liaison for patients seeking new or follow-up care appointments.
- Performing additional tasks as a receptionist and EMR specialist as needed.
- Communicating unresolved issues promptly to facilitate timely solutions.
- Using scheduling reports to follow up with patients who have not scheduled future visits.
- Maintaining cooperative relations with staff, patients, and guests.
- Ensuring confidentiality of patient information per HIPAA regulations.
- Ability to float to other MACC practices when required.
- Performing other duties as assigned.
Qualifications include:
- Proficiency in reading, writing, and communicating in English.
- High school diploma or equivalent.
- At least one year of medical scheduling experience preferred.
- Experience with office technology and medical computer applications preferred.
- Excellent customer service skills and strong interpersonal communication.
- Knowledge of medical terminology preferred.
- Typing speed of 30 WPM preferred.
Purpose of the position:
To provide efficient patient scheduling and outstanding customer service in accordance with departmental procedures.
Schedule details:
40 hours/week, Monday-Friday, 9 AM - 5 PM, no weekends or holidays.
