Position Overview

RMGS, Inc. is currently recruiting an Accounting Assistant to provide support at our headquarters in Virginia Beach, VA .

Key Responsibilities

  • Assist in maintaining and updating the electronic expense reporting system, including inputting new users, vendors, bank details, and per diem rates.
  • Support travel arrangements by preparing requests, obtaining approvals, and assisting with bookings.
  • Process travel advance requests and verify supporting documentation.
  • Maintain travel logs and organize travel claims and expense reports.
  • Review expense submissions, enter voucher data into the financial system, and ensure accuracy.
  • Reconcile corporate travel credit card statements and maintain documentation for audits.
  • Support monthly reconciliation of travel-related general ledger accounts.
  • Assist in preparing and submitting client invoices, verifying charges, and maintaining billing records.
  • Collaborate with staff to resolve billing or travel discrepancies.
  • Create and maintain contract and financial files according to procedures.
  • Support development and documentation of accounting procedures in compliance with DCAA standards.
  • Assist with the Incurred Cost Submission process by organizing required documentation.
  • Perform basic bank reconciliations and other administrative tasks as assigned.

Education
  • High school diploma or equivalent required.
  • Associates or Bachelors degree in Accounting, Business, or related field is a plus.

Experience
  • Minimum 2 years in administrative, billing, or accounting support roles; government contracting experience preferred.
  • Experience with client invoicing and government billing preferred.
  • Familiarity with Deltek/Costpoint or similar ERP/accounting software preferred.

Minimum Qualifications
  • Reliable transportation.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple responsibilities and deadlines.
  • Good communication skills, verbal and written.
  • Professional demeanor, ability to work independently or in a team.
  • Proficiency in Microsoft Word, Excel, Adobe Acrobat, email platforms, and Costpoint Time & Expense preferred.
  • Ability to handle sensitive information confidentially.

Work Conditions
  • Full-time position with hybrid flexibility.
  • Standard hours: Monday Friday, 8:00 AM 5:00 PM.
  • Occasional extended or weekend hours may be required.
