Essential Job Duties Include, But Are Not Limited To

Provide reception and telephone coverage, offer general program information to callers, and triage calls.

Greet and interact professionally and personally with visitors, community providers, and clients. Maintain the sign-in sheet, monitor and notify of arrivals and departures, and assist with transportation needs.

Monitor and maintain order and cleanliness in waiting areas, conference rooms, chart rooms, and common/shared areas. Ensure trash and dumpsters are secured and scheduled for pickup. Assist in preparing for client and staff events and meetings.

Perform routine clerical tasks such as filing, managing new and closing client charts, mailings, copying, and scanning documents.

Maintain inventory of office supplies, forms, and equipment, including copiers, fax machines, and computers.

Handle deliveries, mail, and faxes, routing them to appropriate staff.

Assist staff with copying and faxing, and draft light correspondence as needed.

Assist with facilities and building-related issues as needed or assigned.

Support the manager in maintaining the administrative area.

Perform other duties as assigned.

Minimum Required Educational Level & Experience

At least an AA degree; a degree in office management or a related administrative field is highly preferred. Equivalent education and significant applicable experience may be considered.

At least one year of experience in an administrative or reception role with a focus on customer service in a healthcare or nonprofit clinic/human-services setting.

Experience, knowledge, and ability with MS Office and Google Suite are required.

Excellent verbal and written English communication skills.

Strong interpersonal skills and the ability to work effectively, independently, and professionally with a diverse, multi-cultural, and interdisciplinary staff.

Strong commitment to the philosophy, goals, and mission of RAMS in providing community-based, culturally competent, and consumer-guided mental health services.

Ability to provide bilingual and culturally competent services in fluent Cantonese, Mandarin, Tagalog, or Spanish is preferred due to the needs of the populations served.

Program Description

Hire-Ability is RAMS' award-winning vocational services program, in partnership with the San Francisco Department of Public Health-Community Behavioral Health Services, California State Department of Rehabilitation, and private partners. It serves the San Francisco Bay Area community by connecting employers with trained, assessed, and pre-qualified employees. The program offers vocational rehabilitation, training, and support services to adults with behavioral health conditions and mental health disabilities, as well as Transitional Aged Youth (ages 15-25) who are SF residents. Services include vocational assessment, basic job skills training, on-the-job training, job development, placement and retention, and job coaching. The program also includes components such as Employee Development, Employment Services, Janitorial Training, a Computer Information Technology classroom training, a Community Jobs Program, and three transitional aged youth programs.
