Pre-Arrival Coordinator

to join our team at a premier property in Atlanta, GA. This is an excellent opportunity for a detail-oriented hospitality professional who enjoys creating exceptional guest experiences from the moment a reservation is made. The Pre-Arrival Coordinator plays a key role in ensuring each arrival is seamless by managing personalized communication, coordinating with internal departments, and overseeing special guest requests all before the guest checks in. This role is ideal for someone who thrives in a structured yet dynamic environment. Salary: $18.00 - $21.00/hr - Weekly Pay Coordinator Key Responsibilities: Manage all pre-arrival communication with guests, ensuring timely, personalized service. Coordinate with the reservations team and hotel departments to accommodate preferences and requests. Prepare and distribute pre-arrival reports to departments including housekeeping, F&B, and concierge. Serve as the main point of contact for guests prior to arrival, responding to inquiries and concerns professionally. Maintain and update guest profiles using the ONQ system and the hotel’s PMS. Assist with pre-arrival marketing or promotional campaigns to enhance the guest journey. Handle VIP and special occasion arrangements to ensure an elevated experience. Attend team briefings and contribute guest feedback for continuous improvement. Coordinator Qualifications: High school diploma or equivalent required; degree in hospitality or related field preferred. Previous experience in guest services, front office, or hotel reservations. ONQ system experience required. Strong communication skills, both written and verbal with a focus on personalized guest interactions. Highly organized and detail-oriented with strong time management skills. Comfortable with multitasking in a fast-paced environment. Proficient in Microsoft Office and hotel management software. Availability to work a flexible schedule, including evenings, weekends and holidays. This position is based in a professional office setting within the hotel and requires regular coordination with departments across the property. The role involves consistent computer and phone use, frequent collaboration, and occasional property walk-throughs to ensure pre-arrival readiness.
