Job Description The Membership & Office Administrator is a full-time team member responsible for supporting the day-to-day operations. This role manages critical backend systems-including the membership and sponsorship CRM-while coordinating renewals, scheduling meetings, and maintaining accurate records. As the first point of contact for the community, the coordinator also handles reception duties, supply management, and Ambassador dispatching. They play a key role in supporting the CEO, board operations, and ensuring timely follow-up and reporting for sponsors and members.

Key Responsibilities •Executive Support & Office Coordination

o Manage the CEO's calendar, including meeting scheduling, prep materials, and strategic alignment

o Coordinate logistics for internal and external meetings, including board meetings and team retreats

o Support board communications, including minutes, materials, and member outreach

o Support CEO and CCDO with preparation for key meetings and presentations •Sponsorship & Reporting Support

o Assist in preparing branded sponsorship packages and organizing follow-up

o Support creation and distribution of Impact Reports by coordinating inputs from relevant departments

o Maintain updated sponsor lists and assist in drafting thank-you letters and follow-ups •Administrative Support:

o Field incoming phone calls and emails; manage outgoing communications.

o Oversee filing systems and document organization.

o Act as the primary point of contact for day-to-day administrative inquiries.

Requirements

Qualifications •2-4 years of experience in administrative support, operations, or customer relationship management •Proficiency with CRM platforms (Neon CRM preferred) and Microsoft Office or Google Workspace •Strong organizational and time management skills with a high attention to detail •Excellent written and verbal communication skills •Experience managing schedules, coordinating meetings, and handling follow-up communications •Comfort with basic office systems, supply management, and phone/email reception duties •Familiarity with Facebook Groups or similar online platforms for managing community engagement •Ability to handle sensitive information with discretion and professionalism
