Job Description

Required Education:

High school diploma or equivalent combination of education and experience.

Required Experience:

Four years of office experience.

Preferred Education:

Bachelor’s degree or equivalent combination of education and experience.

Preferred Experience:

Experience with Learning Management Systems, Canvas, Concur, and Office 365.

Required Special Knowledge, Skills, and Abilities:

Word processing, excel, strong written and verbal communication skills, able to work cooperatively with others, have the ability to multi-task, have good organizational skills and ability to work with sensitive information and maintain confidentiality.

Preferred Special Knowledge, Skills, and Abilities:

Knowledge of Learning Management Systems, Canvas, Concur, and Office 365.

Responsibilities:

Assist in the preparation of exams and quizzes; post answer keys, record grades, post to web page. Type correspondences, proposals, reports, exams, syllabus, CV's and lecture outlines. Copy materials for teaching, committee meetings, journals and research articles, travel vouchers as directed by professors. Maintain and set up filing system for correspondence, reports, manuscripts, proposals, classroom handouts, class rosters, grades, problem sets, overheads, and reprints for professors each semester.-Assist professors with setting up committee meetings and students visits with professors; send out announcement by electronic mail and post fliers by campus mail.-Make travel arrangements and set up itineraries. Setup visitor itineraries and make hotel reservations. Help to organize conferences, workshops and meetings as needed. Assist professor with traveling abroad to follow proper protocol.-Assist in grant preparation and help type manuscripts for submission and mail out to the proper destination.-Assist with other miscellaneous duties as requested by professors.-Answer phones, take messages, direct call to appropriate person, and fax transmissions. Also assist with making phone calls for professors to confirm reservations or to correspond with other faculty, staff or students.-Assist professors with ordering lab supplies, processing invoices and keeping track of expenditures.-Create and maintain a how to manual for all of your office responsibilities.-Assist faculty with completing their annual performance evaluations, annual laboratory safety trainings, parking registrations, state required trainings, and other required reports throughout the year that need to be completed for the department. -Keep up with training and new processes for different platforms that are made available for faculty and staff to use in their daily operations.

-Serve as ex officio on department committees as assigned and prepare or gather information for these committees as requested.

-Other duties as required.
