This position is for centralized timekeeping use. This position is responsible for the timekeeping for centrally supported and operated timekeeping department. The incumbents will follow the organization's payroll, timekeeping, and compensation practices, as well as federal and state laws regarding timekeeping. This position supports the inpatient and specialty areas. This position is not responsible for providing direct patient care. Responsibilities: Works under defined deadlines that directly impact employee compensation, pay, labor and financial productivity reporting for UUHC. Reconciles and edits daily schedule changes and time card data entry for the payroll of multiple departments and employee records. Maintains accurate payroll records for potential auditing purposes. Prepares time cards for final payroll sign off and works with department managers to facilitate meeting associated deadlines throughout the pay period. Collaborates with nursing leadership and centralized staffing office for daily staffing assignments to promote accurate charging at the unit level, and consistent administration of variable pay plans. Enters Kronos data including but not limited to unit transfers, pay codes, work rule transfers, and job transfers. Reconciles designation of productive and non-productive hours for nursing finance. Ensures compensation for time worked and time away from work is accurate according to qualifying compensation practice and charged accordingly for all supported employees. Researches and resolves team member and/or system problems. Maintains active communication with the payroll office and human resources entities to resolve any pay, timekeeping discrepancies, and leave related issues. Identifies and reports non-compliance with pay and scheduling practices and policies to appropriate persons including leadership, payroll, and human resources. Prepares and distributes time and attendance metrics to managers and nursing directors. Participates in departmental internal audits to ensure proper application of compensation practices and utilization of the system is in place. Researches and resolves payroll discrepancies to include over-payments, under-payments, and incorrect labor budget charging. Prepares retroactive payments and accrual adjustments for processing at the main payroll level. Processes additional compensation outside of the Kronos system for exempt clinical shifts, variable pay plans, and exempt shift differentials. Verifies eligibility for variable pay practices and educates and supports employees and leaders accordingly. Knowledge / Skills / Abilities: Ability to perform the essential functions of the job as outlined above. Ability to work with all levels of the organization in a professional and collaborative manner. Knowledge of Kronos timekeeping, scheduling, and reporting. Advanced proficiency with worksheets and data analysis. Knowledge of basic accounting and financial principles. Ability to work with more than one computer screen. Qualifications: Required: Associate's degree, or equivalency. One year of experience in Kronos Scheduling and Payroll, or equivalency. Supports the Inpatient and Specialty Team. Preferred: Experience in a hospital or clinical setting. Working Conditions and Physical Demands: Employee must be able to meet the following requirements with or without an accommodation.
