Administrative And Managerial Support For The Office Of Academic Affairs
This posting is for a full-time, 12-month, exempt position. This position provides administrative and managerial support for the Office of Academic Affairs. In addition, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of internal and external callers and visitors to campus. Independent judgment is required to plan, prioritize, and organize diversified workload. The position is responsible for organizing and managing full-time and part-time faculty contract activity; organizing and managing workloads; supervising distribution of communications to faculty and student groups; managing the website for the Office of Academic Affairs, assisting with commencement, and Symposium for Scholarship & Creativity; and managing the daily operations of the Office for Academic Affairs. Essential Functions This position requires regular, predictable, reliable attendance in the office environment. Manage faculty recruiting, contracts, workloads, compensation, education, and related tasks in conjunction with deans and human resources personnel. Maintain academic credentials (degrees and majors) in Workday. Answer phones and provide polite and efficient service to all callers. Schedule appointments as needed for the Vice President of Academic Affairs. Assist with managing faculty recruiting, contracts, workloads, compensation, evaluation, and related tasks in conjunction with deans and human resources personnel. Supervise distribution of internal communication to faculty and student groups from the Office of Academic Affairs. Assist in the organize and facilitation of commencement, Symposium for Scholarship & Creativity, Faculty Awards ceremony, and other intermittent convocations and assemblies. Assist in managing content on academic affairs website. Coordinate general daily office operations. Hire and supervise student assistants. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Position Type and Expected Hours of Work This is a 12-month, exempt position. General hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m. Travel No travel is expected for this position. Required Education and Experience 1. High School diploma. 2. Minimum of three years of administrative experience. 3. Knowledge of Microsoft Office and Excel.
