Clinical Administrative Specialist

The Clinical Administrative Specialist is an administrative position performing basic to intermediate-level paraprofessional, clerical, and customer service work in public health within Nursing Services at Adams County Health Department. This is a temporary full time position that is authorized to work up to 12 months. This position is eligible for medical coverage for themselves and children (no spousal coverage) and the 457b deferred compensation plan through Nationwide. This position is not eligible for any other benefits including dental, vision, holiday/sick/vacation accruals, and pension participation. Examples of duties for success: Clinic Support Meets with patient and/or patients caregiver to exchange necessary information and documentation and confirms provider and appointment. Accurately updates patient records Verifies insurance benefits and performs eligibility screening during the registration process. Maintains proficient knowledge of department programs to appropriately guide clients toward necessary service areas. Determines and accepts required payments for service remittance. Review and verify Electronic Submission of Bills (ESB) to ensure accuracy and completeness. Ensure that the billing process advances to the next stage once ESB reconciliation is complete, which may include generating invoices, sending claims to insurance providers, and other related activities. Identify and rectify errors or discrepancies found during ESB reconciliation, such as coding errors, patient information updates, and other issues impacting billing accuracy. Offer guidance and support to clinical staff regarding billing-related matters, ensuring they have the necessary resources and information to assist in the billing process effectively. Ensures that all necessary demographic, billing, and clinical information is obtained and entered in the registration system with timeliness and accuracy. Uses active listening skills to deescalate conflict or remedy upset customers. Escalates difficult situations to Clinic Lead. Collaboratively works with Clinic team. Appropriately access patients preferred language to provide interpretation services for clients. Documents and balances cash drawer. Completes cash drawer report. Lead cashier deposits payments. Administrative Services Ensure appropriate clinic forms and supplies are stocked before clinic opens and throughout the day. Complete reminder phone calls to confirm scheduled appointments with clients daily. Effectively performs administrative tasks including word processing, data entry, mailings, and other clerical duties in support of clinic operations. May assist with community off-site events as needed. Perform other duties as assigned. Call Center Receptionist Using friendly voice, promptly answers phone calls and provide excellent customer service to callers. Maintains prompt, regular attendance to open phone on time as scheduled. Uses active listening skills to screen callers medical needs. May triage clients to nurse support as necessary. Accurately enter clients demographics and insurance information into computer system. Accurately schedule appointments at five clinics with multiple providers efficiently. Review insurance eligibility with callers to confirm services provided under their plans. Determine callers requests and provide information about additional services and other ACHD programs. HIPAA Statement Maintain sensitive & confidential client information according to the HIPAA policy and Title X confidentiality requirements. Emergency Preparedness and Response Duties Completes trainings identified as appropriate for this level employee. Employee participates in all exercises and drills on emergency preparedness and response, as required. Employee responds, as required, to support emergencies, incidents and events with a public health and medical impact. Equipment Used Must demonstrate proficiency in using PPE, computer use including internet, email, Microsoft Office products (or equivalent). Must have a knowledge of various tablet devices and services to download. Must be able to learn and become proficient with equipment and software programs as required to effectively and efficiently perform assigned duties. Working Conditions and Physical Abilities This role includes occasional physical activities such as ascending/descending stairs; moving oneself into different positions to provide patient care; standing, walking, squat, and sitting for extended periods of time; moving about to accomplish tasks from one worksite to another; moving people or objects as heavy as 75 pounds; communicating with others to exchange information verbally and in writing, operating medical equipment and keyboards/data entry devices. Requires constant physical mobility to prepare, sterilize, and clean clinic areas, assist patients in the reception and treatment areas, and to negotiate around equipment and chairs in the examination room. This role constantly communicates with others to exchange information by speaking, listening, and writing in English and Spanish. This position can expect no adverse environmental conditions as work is performed in an office building. Qualifications for success: Knowledge of: Appointment scheduling software and the ability to manage appointments efficiently. Insurance policies and procedures, including claim submission and processing. The fundamental principles of healthcare billing, including coding, claims submission, and reimbursement processes. Data management and record-keeping to ensure accurate billing records. Skills in: Active listening, which involves patiently hearing others out and accurately restating their viewpoints. Putting others at ease and being sensitive to their interpersonal anxieties is vital for establishing strong rapport and fostering open communication. Ability to: Proactively gather informal information and create a warm, customer-focused environment Gain trust and respect from both internal and external customers. Act with customers in mind and maintain effective relationships Deliver exceptional service and achieve customer loyalty. More qualifications for success: Education: High School diploma or equivalent is required. Experience: One year of previous customer service experience is required. Other qualifications: Fluent bilingual (English/Spanish) language speakers preferred. This position requires a valid drivers license and reliable transportation to a variety of clinics in the Metro Denver Area. Adams County complies with Colorados Job Application Fairness Act (JAFA).
