Receptionist (Temp/On-Site)

As Front Office Concierge (Receptionist), you'll be the face of our organization to the world as the first person that anyone who walks in the door sees. You'll be responsible for greeting and receiving visitors daily as well as answering the company's main telephone line. We'll also need you to collaborate with teammates on administrative tasks by leveraging your customer service skillset. This will include, but not limited to answering questions, filing, handling the mail, drafting letters, and even doing some basic bookkeeping. The Fundamentals For The Job
Serve as the primary point of contact for all incoming phone calls and emails, ensuring timely and accurate triaging to the appropriate teams or individuals. Greet and assist all visitors and vendors with professionalism and warmth; maintain accurate visitor logs and issue temporary badges as needed. Deliver exceptional service to all employees and guests, upholding established service standards, procedures, and policies. Manage incoming and outgoing mail, packages, and courier servicesincluding supporting special request shipments for conventions or events. Coordinate onboarding and offboarding logistics in partnership with HR and IT, ensuring smooth transitions and readiness of workspace elements. Maintain a tidy, welcoming, and professional front desk and lobby environment at all times. Support broader office concierge and facilities team functions as needed, promoting cross-training and collaboration. Assist in sending outbound communications or mailings to beneficiaries as part of ongoing business operations. Maintain and regularly update a Lost & Found log; follow cadence for item disposal as per office policy. Personally greet new hires and provide a brief orientation on office amenities and general workplace guidelines. (TA to coordinate scheduling.) Track and report reception metrics (e.g., visitor volume, response times) to contribute to internal reporting and service evaluations. Monitor inventory of mailing supplies (e.g., stamps, packing materials, shipping boxes), replenishing as needed. Process invoice validations for job related vendors. What We Expect Of You
Associate Degree in Office Administration or a related field (In lieu of a degree, equivalent, relevant work experience may be considered.) 1+ years of experience as Front Desk Assistant, Receptionist, Concierge, or in a Customer Service role. Experience in using basic office equipment (printers, scanners, copiers, etc.) Experience with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). Experience in customer service-oriented roles requiring developing rapport with employees and visitors. Experience in maintaining organized tasks and events within a fast-paced environment. Availability to work rotating or irregular shifts, including weekends and certain holidays, per business or operational needs. Excellent oral and written communication skills, bilingual fluency in Spanish and English is required. Physical Requirements
