Temporary - Wedding And Events Manager
Position Overview Handle and manage all aspects of catering and social events, specifically weddings and wedding-related events. Create all contractual agreements pertaining to guest events, room blocks, meeting space, food and beverage and special occasions. Effectively communicate to all hotel departments the information necessary to successfully execute the group needs while maintaining good client relationships. Duties And Responsibilities Maintain strong client relations and ensure that wedding and specifications are communicated and executed for a successful experience for the client and all attendees. Participate in site visits and pre planning meetings. Produce and distribute resumes and communicate all changes in a timely manner. Review sales contracts as well as other important information id: room block, cut-off dates, concessions, and attrition clauses. Monitor and manage meeting space and room blocks. Monitor and enforce program deadlines as well as cut-off dates. Create and distribute BEO's for events. Work with Banquet & Kitchen teams to ensure proper set up and BEO's are updated and accurate. Check room blocks, special concessions, and work with reservations on all room assignments with the Reservations team. Verify all credit information. Participate in Pre/Post cons, review bill with client. Ensure Food & Beverage minimums are met and properly charged at the end of the wedding or event. Work with Accounts Receivable to ensure deposits have been collected and bill reviews at the conclusion of the event. Assist Sales & Catering in servicing events as needed. Attend plate ups and assist the banquet team with set up as needed. Assist client with set up options and diagrams. Supportive Functions In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the hotel: Block space in Delphi Create detailed BEO's and event resumes Participate in site inspections and menu tastings Communication of all event activities internally Qualifications
Education And Licensing: Minimum Qualifications: High School or equivalent education required. Bachelor's degree preferred.
Minimum of 1-3 years in catering and/or event sales plus administrative assistance required. Current and previous hotel/resort experience preferred.
Must be able to work in a fast-paced environment. Knowledge, Skills And Abilities: Knowledge of event and group coordinating functions.
Ability to verbally and effectively communicate with others.
Strong interpersonal, verbal and written skills required.
Strong organizational and time management skills required.
Ability to come up with unusual or clever ideas about products, services or situations, or to develop creative ways to solve a problem.
Computer knowledge and proficiency required, i.e. Microsoft Office, Excel, PowerPoint, Word and Outlook. Typing 50 words per minute.
Experience with Delphi or Event Software and Opera PMS or Reservation system required.
Ability to create BEO's. Skills And Experience: Event and Catering Coordinating or Planning required. Previous experience in Hospitality, Luxury, or Boutique Resort preferred Grooming: All employees must maintain a neat, clean and well-groomed appearance per The Ranch standards. Must be able to sit at a desk for up to 8 hours per day. Walking and standing are required. Length of time of these tasks may vary. Position requires walking and touring of guests throughout the resort. Length of time of these tasks may vary from each situation. Packing of boxes (collateral) with occasional lifting up to 25lbs on a regular and continuing basis. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors and other team members. Multi-tasking involved integrating both Administrative and Event Coordinating. Ability to spend extended lengths of time viewing a computer screen. Requires manual dexterity to use and operate all necessary equipment. Must have finger dexterity to be able to operate office equipment such as computers, printers, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly, and other office equipment as needed. Other: Regular attendance is essential to the successful performance of this position. Irregular attendance will be subject to disciplinary action, up to and including termination of employment. Due to the fluctuation in business levels in the hospitality industry, employees may be required to work varying schedules to reflect the business needs of The Ranch. In addition, attendance is required at all scheduled training sessions and meetings. Upon employment, all employees are required to fully comply with company rules and regulations for the safe and effective operation of The Ranch's facilities. Employees who violate The Ranch rules and regulations will be subject to disciplinary action, up to and including termination of employment.
