The Office Manager plays a vital role in supporting the Wild Spring Dunes team through the development and pre-opening phases of the resort. This person will serve as the central administrative hub for day-to-day operations, ensuring seamless coordination, organization, and execution of key business processes. You'll work closely with leaders across departments to set up and streamline office functions, manage financial and administrative tasks, and help create a foundation that supports our long-term success. Wild Spring Dunes will be a public golf resort and refuge with world-class golf, accommodations, and homesites. Two courses are routed with plans established for a short course and practice center. Set on over 2,400 sandy, secluded acres, here you will find dramatic elevation changes that highlight four distinct and diverse ecosystems: towering pines and hardwood forest, open, grassy meadows, rolling hills, and steep ravines carved by spring-fed creeks that crawl through the secluded site. Administrative & Office Operations Serve as the primary point of contact for all office coordination needs Maintain organized filing systems for documents, records, and contracts Manage ordering of office supplies, equipment, and vendor communications Accounting Support Process purchase orders (POs), track accounts receivable, and support invoice approvals Assist with expense reporting and credit card reconciliation Work closely with centralized Finance team to ensure accurate recordkeeping People Support & Onboarding Help coordinate onboarding activities for new team members, including new hire paperwork, welcome materials, and system access Support leaders in collecting and approving timekeeping and payroll entries Serve as a go-to resource for employee questions related to policies, systems, and tools Project & Process Coordination Support the creation and implementation of administrative systems, templates, and workflows for resort operations Assist with meeting coordination, scheduling, and cross-functional communication during development Help track and organize pre-opening checklists and timelines in collaboration with the resort leadership team Qualifications
3+ years of experience in an administrative, office management, or operations support role Strong attention to detail, organization, and follow-through Proficiency in Microsoft Office (Excel, Outlook, Word); experience with QuickBooks, PO systems, or payroll tools a plus Comfortable learning new systems and adapting in a fast-paced, evolving environment Excellent written and verbal communication skills High degree of professionalism, confidentiality, and a team-first attitude Ability to work independently and proactively anticipate needs Hospitality or resort experience is a plus but not required In addition to a competitive salary, we offer a comprehensive benefits package that includes health insurance, a retirement plan, and paid time off.
