Receptionist Position

The Receptionist is responsible for warmly welcoming residents, families, and visitors into the community, managing front desk operations, answering and routing calls, and performing various administrative duties. This position also provides support in the dining room during meal service and assists with activities to enhance resident engagement and overall community experience. Essential Job Functions

Front Desk & Communication

Maintain a tidy and welcoming front desk area with all necessary materials Greet and assist residents, families, guests, and vendors in a professional and friendly manner Answer all incoming phone calls; redirect as appropriate or take and relay messages Respond to inquiries and route concerns or complaints to appropriate personnel Manage visitor sign-in/sign-out logs and maintain awareness of who is in the community Send and receive emails, faxes, and mail; distribute correspondence and packages appropriately Coordinate community schedules and tour appointments Administrative Support

Maintain accurate records and filing systems Prepare guest meal vouchers and basic correspondence Schedule appointments and update calendars for leadership or community events Track and reorder office supplies as needed Perform basic bookkeeping, filing, and clerical tasks Resident & Community Support

Assist in the dining room during meal service, including seating residents, delivering items, and providing light support to enhance the dining experience Participate in activities by helping with setup, coordination, communication, and resident engagement Act as a point of contact for family visits, tours, and new resident arrivals, especially during weekend shifts Professional Conduct

Standing: Less than 1 hour at a time within an 8-hour shift Sitting: 46 hours at a time within an 8-hour shift Support/assist up to 40 lbs frequently and 150 lbs occasionally Lift/carry 50 lbs frequently and 70 lbs occasionally; height of 34 ft, distance of 30 yards Frequent reaching (within 3 feet), repetitive hand use (simple grasping, pushing/pulling, fine manipulation) Occasional bending, squatting, kneeling, and climbing Experience & Qualifications

High school diploma or equivalent required Proven front desk or customer service experience preferred Familiarity with basic office equipment and software (phones, copier, printer, etc.) Strong verbal and written communication skills Excellent customer service skills and attention to detail Ability to manage multiple tasks in a fast-paced, high-volume environment Positive attitude and enthusiasm for enhancing residents' quality of life Demonstrated ability to work as part of a team and follow both written and verbal instructions Flexibility to work weekends, evenings, and holidays as needed to support community operations A self-starter with ownership mindset and accountability
