C.H. Thompson is currently seeking a proactive, organized, and customer-focused Administrative Assistant to support our Quality Department. This is a newly created role designed to support our growing and evolving Quality Control team. As the team focuses more on technical quality initiatives, we're looking for an administrative professional to handle customer-facing communication and internal coordination in a fast-paced environment. This support will allow the QC team to stay focused on core quality responsibilities, while ensuring that communication, documentation, and follow-ups are handled efficiently and professionally. C.H. Our customer base ranges from small privately owned machine shops to top Fortune 500 companies such as Lockheed Martin, General Dynamics and BAE Systems. Responsibilities May Include: Manage the Quality Department email inbox - ensuring all customer emails are acknowledged and addressed promptly. Communicate directly with customers - especially when a quality issue arises that requires additional work before product return. Handle incoming customer calls - gather relevant information/questions, communicate with the quality team, and follow up with the customer with updates. Process all rework documentation - including updating job steps in our internal system, distributing copies of rework sheets, and notifying the CHT management team. Collaborate with Customer Service - to ensure customers receive timely and accurate updates related to quality matters. Prepare documents for weekly internal meetings - such as On-Time Delivery (OTD) stats, rework stats, and other relevant quality data. Attend meetings on behalf of the Quality Department as needed and represent the team professionally. Support task and project tracking - by maintaining a "to-do list" for the team, following up on progress, and ensuring no items fall through the cracks. Meet daily with QC team - to get updates on open issues and maintain momentum. Schedule and coordinate meetings and ensure timely attendance. Assist with other administrative tasks as assigned as the role continues to develop. Qualifications:

Communicates effectively and empathetically with customers and team members. Highly organized and detail-oriented, with a commitment to accuracy and quality. Strong sense of urgency and ability to manage multiple tasks and projects simultaneously. Proactive self-starter who anticipates needs and takes initiative. Excellent problem-solving and analytical skills. Proficient in Microsoft Office Suite and other relevant software. Able to work independently with minimal supervision. Shift Hours:

Summer Hours: Monday - Thursday 6:30am - 3:30pm, Friday 6:30am-12:30pm Regular Hours: Monday - Friday 7:00am-3:30pm Total Compensation Package:

Wage This role is based in the State of New York which requires the disclosure of salary ranges. The expected salary range for this position is $17.50.00-$19.00 per hour. C.H. Thompson provides salary ranges as a good faith estimate of what the company reasonably expects to pay for the position at the time of posting. Compensation offered to a selected candidate may vary based on factors such as (but not limited to) a candidate's job-related qualifications, skills, competencies, experience, and geographic location. The expected salary range for this position is subject to change and may be modified in the future.
