Office Ambassador

Kelley Kronenberg is hiring an office ambassador to join our Coral Gables office! This office is fast-paced, technology savvy, and team-oriented. The ambassador will greet, assist, and provide directions and information to clients, visitors, and other guests of the firm. One of the most important roles the ambassador plays is operating the phone system, and responding to and routing all incoming calls to the law office. The ambassador should provide efficient, organized, and friendly administrative support and customer service to clients and internal staff. This position requires a positive and resourceful attitude in the workplace with strong customer focused communication. Essential responsibilities include: Greeting clients, visitors, and guests; determining the purpose of each person's visit and directing or escorting him or her to the appropriate location. Answering visitors' questions, calls, and emails, and providing them with the relevant firm information. Answering and routing incoming calls on the phone system in a professional and friendly manner. Maintaining reception area, conference rooms, and all common areas in a clean and organized manner. Helping to maintain and follow workplace safety and security by following proper protocols and procedures. Receiving mail, documents, packages, and courier deliveries and distributing accordingly. Logging, scanning, and processing all incoming mail including documents, checks, etc. Managing the office e-fax inbox and routing all faxes accordingly. Managing the booking and use of office conference rooms. Assembling and dropping off outgoing mail and packages, including subpoena packets, hearing binders, trial documents, etc. Processing records/documents received through CDS, thumb drives, share files, and creating copies as requested. Assisting with trial preparation, assembling trial binders as requested. Maintaining and keeping records of office inventory for supply rooms, common areas, snacks, and kitchen. Assisting with office, firm, and team initiatives such as events, breakfasts, celebrations, etc. Performing administrative and clerical support tasks as requested (printing, scanning, copying, mailing, etc.) Assisting with the execution of Office Services team initiatives and projects. Skills and competencies include: Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Basic understanding of administrative and clerical procedures and systems. Proficient with Microsoft Office Suite or related software. Position type/expected hours of work: This is a full-time position. Standard days and hours of work are Monday through Friday 8:15am EST to 5:15pm EST. The position may require the ability to work overtime when the need arises. Required education and experience: High school diploma or equivalent required. 1+ years of prior legal office experience.
