Plans, coordinates, and performs administrative activities for area of assignment; provides complex and highly skilled administrative support to a departmental director/manager or other assigned personnel; prepares a variety of correspondence and documentation; compiles and analyzes statistical data; prepares various types of reports; maintains departmental records, files, and databases; conducts general accounting duties; coordinates special projects; and performs other related duties. Performance administrative support activities for area of assignment; coordinates with departmental staff and other City departments regarding various administrative and/or operational matters. Responds to inquiries and concerns from other City departments, outside agencies, and the general public regarding departmental operations, programs, services, and policies. Provides complex administrative support to a department head and/or other assigned personnel. Updates and maintains departmental calendars and schedules; organizes meetings, receptions, and/or other types of functions; books travel arrangements. Prepares and disseminates various types of correspondence, agenda items, meeting minutes, newsletters, or other documentation; drafts resolutions and agreements. Compiles and analyzes statistical data; prepares various types of administrative reports; monitors and maintains compliance with all local and State regulatory reporting requirements. Maintains and/or administers contracts, leases, agreements, and Memorandums of Understanding (MOU's). Organizes, updates, and maintains departmental records and filing systems; processes open records requests as assigned. Administers, updates, and maintains databases and/or websites for area of assignment; provides database training and support to departmental personnel. Updates and maintains the Department's personnel records; prepares and submits payroll documentation; tracks employee accruals. Assists in preparing departmental budgets; maintains and reconciles grant and/or special fund accounts; prepares purchase requisitions; performs accounting and/or program audit research. Coordinates departmental and/or City-wide special projects and programs. Attends meetings and serves as a representative of management personnel; serves on committees as assigned or appointed. Performs other related duties as assigned or required. High School Diploma or equivalent, and three years experience providing executive-level secretarial support; OR an equivalent combination of education and experience. Associate's Degree in Business Administration or related field is desirable. Must possess a valid Texas Driver's License. Work is performed in a standard office environment. Subject to sitting for extended periods of time, standing, walking, bending, reaching, and lifting of objects up to 20 pounds.
