The purpose of the Judicial Assistant classification is to provide direct and specialized administrative and clerical support to judicial officers in a courtroom or chambers setting. This classification is responsible for ensuring the smooth coordination of judicial calendars, communication, and case processing activities by serving as a central point of contact between the bench and internal or external stakeholders, including attorneys, litigants, justice partners, and court staff. Judicial Assistants perform duties that are integral to the efficient and effective functioning of courtroom operations and judicial decision-making. Their responsibilities help maintain accurate court records, facilitate the timely resolution of cases, uphold confidentiality requirements, and contribute to the public's confidence in judicial processes. This position is represented under the Trial Court Employment Protection and Governance Act (Trial Court Act) and is subject to the applicable Memorandum of Understanding (MOU). The Superior Court of Calaveras County is a Cluster One Court, serving a limited population with a small judicial and administrative staff. Incumbents may be required to work overtime, standby, callback, weekends, holidays, and alternative shifts based on court needs. Under general supervision, the Judicial Assistant performs a variety of responsible, technical, confidential clerical, and administrative duties in direct support of one or more judicial officers, and they may support the executive management team. The position requires knowledge of legal terminology, court procedures, and calendaring systems. Judicial Assistants may assist in the preparation and review of orders, manage case-related correspondence, update the case management system, and perform other judicial support duties as directed. This classification requires discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced, confidential environment. Typical Duties

The Judicial Assistant is a specialized court classification responsible for providing direct and routine-to-complex clerical, calendaring, and courtroom support to judicial officers. This class is distinct from the Court Clerk series in that incumbents in this role serve as primary liaisons between executive management, judges, attorneys, court staff, and justice partners for courtroom operations. Judicial Assistants coordinate courtroom logistics, schedule matters, prepare case calendars, manage exhibits, and ensure the timely flow of information and documentation before, during, and after court proceedings. This classification is further distinguished by its responsibility for providing administrative and procedural support for judicial chambers and court departments, such as facilitating communications, managing judicial case files, coordinating interpreter or court reporter assignments when appropriate, and updating case management systems. While Judicial Assistants may perform some administrative support functions, this class does not include professional-level policy, analytical, or budget responsibilities performed by administrative analyst classes. Judicial Assistants work under general supervision and are expected to exercise discretion, tact, and initiative within established policies and procedures. Supervision Received and Exercised: The Judicial Support Assistant works under the general supervision of the Director of Operations. Receives assignments, guidance, and performance evaluation from judicial officers and/or supervisory staff based on court procedures and priorities. Works independently on recurring tasks within established procedures and legal frameworks. This classification does not typically supervise other employees. However, a Judicial Assistant may provide guidance, procedural direction, or orientation to court clerical staff, interns, or volunteers working in or assigned to a courtroom or judicial department. Representative Duties: The Court reserves the right to assign or reassign duties as needed, based on the needs of the Court. Judicial Officer and Courtroom Support Provides direct administrative support to judicial officers, including preparing, proofreading, and finalizing judicial correspondence, orders, agendas, and courtroom documents. Coordinates judicial calendars and courtroom schedules, including arrangements for interpreters, court reporters, and visiting judges. Acts as liaison with attorneys, law enforcement, and justice partners for scheduling warrants, appearances, and courtroom logistics. Assists with judicial travel coordination, meeting planning, and confidential file organization. Assists with Jury Trials, including coordinating jury panel availability, preparing courtroom materials, ensuring courtroom readiness, managing exhibits, and trial evidence in accordance with legal protocols, maintaining daily trial logs, assisting with jury orientation and communication, liaising with attorneys and court staff regarding trial schedules, and supporting the judicial officer with documentation, notes, or administrative tasks throughout the trial process. Clerical and Administrative Operations Relieves court managers of routine administrative duties, which includes maintaining calendars, scheduling meetings and conferences, and making travel arrangements. Prepares, types and proofreads documents (e.g., correspondence, memoranda, reports, forms, and spreadsheets. Performs advanced clerical duties, including maintaining filing systems, copying, processing mail, scheduling meetings, and preparing memos, forms, minutes, and spreadsheets. May assist with travel authorizations and Prepares and processes a variety of legal and administrative documents in compliance with court rules, timelines, and formatting standards. May assist with the office inventory, orders and distributes books, reference materials, and supplies. Legal Program Coordination Supports judicial programs and administrative functions including: Court-Appointed Counsel request processing and monthly reporting to the Judicial Council. Judicial Arbitration scheduling and tracking. Grand Jury administrative support and documentation. Probate Referee Oath maintenance. Assists research attorneys with reviewing and updating local rules and procedures. Public and Interagency Communication Serves as a professional point of contact for judicial administration, greeting visitors, responding to public and internal inquiries, and referring individuals as appropriate. Coordinates interdepartmental communication relating to judicial scheduling, case updates, and administrative deadlines. Regulatory and Reporting Compliance Compiles and submits monthly judicial affidavits, FPPC Form 700 filings, and other mandatory reports to state or local oversight entities. Collects, verifies, and maintains confidential information and ensures adherence to legal timelines and documentation standards. Technology and Data Management Utilizes case management systems and software applications (e.g., Microsoft Office, calendaring tools, databases) to enter, update, and retrieve case-related information and prepare reports. Supports administrative projects involving data analysis, statistical research, and procedural workflow studies. General Duties Processes confidential materials with discretion and attention to accuracy. Performs receptionist functions as needed, including answering phones, routing messages, and assisting walk-in inquiries. Completes other related judicial administrative duties as assigned to ensure the smooth operation of chambers or courtroom functions. Minimum Qualifications
