Assistant To The Dean

The Assistant To The Dean provides high-level administrative and operational support to the Dean of the Roy H. Park School Of Communications. This position ensures the smooth operation of the Dean's Office by managing communications, scheduling, office logistics, and coordination with internal and external stakeholders. It serves as a first point of contact for faculty, students, staff, visitors, and partners, and plays a central role in supporting student hiring and office operations across the school. Administrative Support & Scheduling: Manage the Dean's calendar, meetings, and appointments, coordinate logistics including Zoom links, pre-reads, and agendas. Draft, finalize, and distribute correspondence, reports, and meeting materials for the Dean and Associate Dean. Assist with travel planning, itineraries, and expense reconciliation for the Dean. Attend and take minutes at Dean's Team, Administrative Council, and other key meetings as assigned. Office Management & Communication: Serve as the primary liaison for the Dean's Office, responding to inquiries and guiding visitors to appropriate contacts or resources. Maintain a welcoming front office environment during business hours to ensure consistent coverage, supplemented by student employees. Order and manage office supplies for all units within the school, including academic departments and student media organizations. Oversee maintenance of office equipment and assist with troubleshooting or faculty support as needed. Student Hiring and Supervision: Coordinate the hiring, training, and supervision of student assistants in the Dean's Office. Collaborate with department chairs and administrative staff to facilitate the hiring of classroom assistants and student workers. Submit hiring paperwork and authorize timecards; provide basic onboarding guidance to students and faculty in line with College and NYS policies. Facilities & Operational Support: In consultation with the Deans, maintain and update annual faculty and staff office assignments. Coordinate office moves, technology requests, and facilities or maintenance needs. Assist with new employee onboarding by setting up phones, keys, and workspace logistics. Event Support & Special Projects: Assist in planning and executing key School events, including retreats, student awards ceremonies, orientation, and open houses. Coordinate logistics such as catering, materials, and facility reservations. Lead planning for the Park School Senior Awards program, including certificate creation, event run-of-show, and day-of execution. Other Duties: Provide backup support for Dean's Office staff during absences. Participate in special projects and initiatives at the Dean's request. Promote a collaborative, respectful, and inclusive work environment. Qualifications: Associate degree and a minimum of 3 years of administrative experience, or equivalent combination of education and experience. Proficiency with Microsoft Suite for word processing, spreadsheets, databases, and office technologies. Knowledge of online student information systems is a plus. Strong organizational skills, attention to detail, and ability to manage multiple priorities. Excellent written, verbal, and interpersonal communication skills. Experience with budget monitoring and familiarity with higher education environments preferred. Ability to work effectively with diverse individuals and teams in a professional and inclusive manner. Work Environment: This is an on-campus position in a professional office setting. The role requires regular use of a computer and office equipment, as well as occasional movement across campus to deliver materials or attend events. This position is 37.5 hours per week, 52 weeks per year. Hiring Range: $20 to $23 per hour, commensurate with qualifications and experience.
