Administrative Support

This position is responsible for administrative support duties for the team and to facilitate the efficient operation of the Kansas City office. Responsibilities: Represents the company by welcoming visitors, reviewing correspondence; arranging company meals and other corporate functions; answering questions and meeting requests. Will work under general or indirect supervision, make independent judgment and maintain a high degree of confidentiality. Improves quality results by studying, evaluating and re-designing processes; implementing changes. Acts as project manager for special projects, upon request, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures and other duties as assigned. Prepare invoices with proper department coding through use of OpenText. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Proficiently schedule and organize activities such as meetings, conference calls, travel arrangements, conferences, lunch orders, etc. Answer telephone and email inquiries and respond as appropriate. Develop visual presentations to support documentation in meetings. Accurately prepare, create, proofread and assemble bound documents, workbooks, proposals, meeting agendas, PowerPoint presentations, etc. Corporate credit card reconciliation. Arranges corporate travel and meetings by developing itineraries and agendas; booking required transportation; arranging lodging and meeting accommodations. Other duties as assigned. Requirements: High school diploma or equivalent is required, a college degree preferred. The Assistant level requires 0-2 years of relevant work experience. The Sr Assistant level requires 2+ years of relevant work experience. Must be detailed oriented, self-starter and able to work with little supervision while maintaining goals/tasks. Should have good PC skills to include all MS Office products, including Outlook, Word, Excel, and PowerPoint. Must have good written and verbal communication skills and be able to effectively communicate with staff, management, and outside vendors and customers. Must have the ability to follow directions and prioritize assignments. Must be able to handle confidential and non-routine information with discretion. While performing the duties of this job, the employee is regularly required to stand, walk and use hands to finger, handle, or feel and reach with hands and arms. The employee frequently is required to walk, stoop, kneel, carry, push/pull and use repetitive wrist and hand movements. The employee may be required to lift and/or move objects of up to 25 pounds. Hearing, seeing ability of rapid mental coordination. It is required to be available and mentally alert for entire regular shifts/schedules. This position will typically work in a climate control office environment.
