Job Description

Job Duties: Coordinates, monitors & performs variety of fiscal management & control activities for fiscal department and agency (e.g., monitoring internal purchasing requests, authorizes division(s) purchases in Ohio Buys). Assist Business Administrator with managing purchase orders including coordination with accounts payable for vouchers, creating change orders and closing of purchase orders when goods are received and payments are made. Ensures state vehicles and supplies are available to complete assignments/ projects). Serves as liaison between administrator & subordinates, transmits decisions & directives, represents administrator at meetings & conferences, formulates & implements program policy. Coordinates, analyzes & controls agency inventory system, receives, inspects, & maintains inventory of materials, supplies & equipment for agency; controls equipment & fixed assets inventory; prepares annual inventory report; enters, updates, verifies, and tracks all information on computer. Assigns fleet vehicles for employee use, assures that vehicles are routinely inspected and repaired for maximum benefits and employee safety, compiles and accurately maintains vehicle maintenance information for fiscal office to help determine replacement time. Completes various inventory control forms for requests for interchange and disposition of surplus property, salvage disposal and releases for abandoned property. Prepares statistical reports from inventory information. Controls and coordinates inventories which include assigning asset numbers and tagging all incoming supplies and equipment. Complete physical inventory of equipment (yearly) and supplies. Transports equipment to and from State Surplus. Responsible for updating and entering information in the Ohio Administrative Knowledge System (OAKS)-FIN. Assists with maintaining the storerooms computerized inventory control system. Assists with making errands to various state agencies and/or to deliver mail or pickup supply orders and delivering stock and mail to various department divisions. Loads/unloads stock.
