Central Office Administrative Assistant - Curriculum & Instruction
ALABASTER CITY SCHOOLS JOB TITLE: Central Office Administrative Assistant - Curriculum & Instruction QUALIFICATIONS: High School Diploma or equivalent. Associate's degree or higher in business administration, accounting, or a related field preferred. Experience as an administrative or bookkeeping assistant or an associate's degree in accounting or business administration. Proven proficiency in Microsoft Office Suite, Google Workspace, and other office software applications. Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines. Basic knowledge of bookkeeping, inventory management, purchasing procedures, and accounting principles. Excellent written and verbal communication skills. High attention to detail and accuracy. Ability to exercise sound judgment, maintain confidentiality, and work independently. Creative problem-solving skills and adaptability in a dynamic environment Professional demeanor and strong interpersonal skills for working with diverse stakeholders. REPORTS TO: Chief Academic Officer (CAO) JOB GOALS: To assist in the administration and efficient operation of the Curriculum and Instruction Department. ESSENTIAL FUNCTIONS: Expected work day: Eight hours. Regular and punctual attendance required. Provide comprehensive administrative support to the Chief Academic Officer, including scheduling, calendar management, correspondence, and meeting coordination. Perform secretarial duties such as drafting letters, memos, reports, presentations, and maintaining accurate records and files. Maintain and monitor department budgets, purchase orders, invoices, and payments; apply basic accounting principles to bookkeeping and purchasing functions. Track inventory and order supplies and instructional materials as needed, ensuring compliance with district purchasing procedures. Coordinate and support internal and external communications for the CAO and academic leadership team. Assist in organizing events, trainings, and professional development sessions, including preparation of materials and logistics. Compile and manage data for reports, audits, and compliance documentation. Handle confidential information with professionalism and discretion. Provide exceptional customer service and act as a liaison between the academic office and other departments, schools, and stakeholders. MARGIMAL FUNCTION: Any reasonable office related tasks assigned by supervisor. EVALUATION: Performance will be evaluated in accordance with the support personnel evaluation system and Board policy. TERMS OF EMPLOYMENT: 12-months/240 days (non-exempt)
