Certificate Admissions Counselor

The Certificate Admissions Counselor, based in Campbellsville, Kentucky, provides clerical and data management support for the admissions process. This position assists admissions counselors and directors by application management, maintaining accurate student records, generating reports, and ensuring timely communication with prospective students. While not focused on recruitment, the role may support occasional outreach efforts if needed. Reporting to the Assistant Director of Admissions. This position plays a key role in streamlining admissions operations and supporting overall enrollment goals. Through their work in this role, the Certificate Admissions Counselor will play a critical role in reducing barriers to education, supporting diverse students, and building a sense of belonging for all. Administrative Support & Application Monitoring Monitor and manage assigned applications in Workday for certificate, international, and other programs as directed, ensuring timely progression through all stages of the admissions process. Track required documentation for each applicant and coordinate follow-up on missing items with the data team, counselors, and program staff. Maintain and regularly update internal enrollment tracking spreadsheets for all active applicants, ensuring accurate records for reporting and decision-making. Communicate with faculty and academic staff regarding class schedules and outstanding grade submissions to support enrollment continuity. Communication & Applicant Coordination Respond to applicant inquiries by phone, email, or in person, providing courteous and accurate information related to admissions requirements and next steps. Serve as a liaison to direct students to appropriate admissions counselors, directors, or campus resources as needed. Ensure timely communication with prospective students regarding missing documentation, application status, and orientation readiness. Support for Admissions Counselors and Directors Provide ongoing clerical and operational support to admissions counselors and directors, assisting with documentation review, status updates, and administrative coordination. Prepare weekly and monthly reports related to applicant status, enrollment progress, and admissions documentation. Assist with follow-up communications and onboarding coordination to support enrollment goals and ensure smooth transitions for incoming students. Event Participation Attend and assist with key university events such as open houses, orientation, or registration days on an as-needed basis when directed by the Assistant Director of Admissions. Support event logistics including check-in, documentation verification, and general administrative needs during campus events. Office and Student Support Collaborate with the admissions data team to confirm that all documentation is processed and properly filed in CRMs. Uphold university policies and admissions procedures while contributing to a positive and inclusive applicant experience across all program types. Minimum Qualifications: At least three years of professional experience in higher education or a related administrative support role. Strong organizational skills and demonstrated ability to manage multiple tasks and deadlines with accuracy and attention to detail. Proficient in Microsoft Office and comfortable navigating data systems or student information platforms (e.g., Workday, OnBase). Clear and professional interpersonal communication skills, both written and verbal. Ability to work independently and collaboratively in a fast-paced environment. Must be able to travel occasionally as needed for university events or staffing support. Preferred Qualifications: Bachelor's degree strongly preferred but not required. Experience supporting certificate, technical training, international, or student admissions processes. Familiarity with CRM systems and document tracking workflows in a university setting. Experience with student on-boarding, academic document verification, or enrollment operations.
