Front Desk Coordinator - Non Exempt

Reports Directly to: Practice Manager A Front Desk Coordinator ensures that all interactions between administration, employees, patients and outside services run as smoothly as possible. Their main responsibilities include to effectively and efficiently manage the lobby, greeting patients, updating patients charts efficiently, scheduling medical procedures, answering phone calls and overall maintain an excellent patient flow from the time patients walk-in until they check-out. Responsibilities and Duties: Greet patients and visitors; direct all people to the appropriate location and services. Provide efficient and professional telephone services; transfer calls according to established protocols. Register patients into Electronic Medical Record (EMR). Updates patient information as needed. Assist patients in accurately completing appropriate patient forms. Retrieves patient's registration information and confirms and verifies patient's information. Obtain copies of required patient information according to established protocols. Schedules and confirms patient appointments and/or follow up appointments. Communicates with multiple team members to maintain a timely efficient patient flow. Relay messages as required between Providers, patients, team members and other professionals. Scan and print documents. Collect co-pays and any additional corresponding fees. Reschedule missed appointments following established protocols. Reminder phone calls to all patients. Computer data entry. Maintains clean work area. Assists with training on various aspects of job duties. Qualifications: Bilingual (English-Spanish) required. Must have computer skills - Microsoft/ Windows 2 years previous medical office experience preferred. Issue patient payments using basic billing knowledge. Familiar with insurance plans: Medicare, Medi-Cal, PPO's, etc. Excellent communication/patient service skills. Courteous telephone manners required. Essential Functions: Front desk coordinators are the ultimate multitaskers. Able to perform clerical and administrative tasks, often talking on the phone while entering client data into a computer. Organization and prioritization skills are necessary to do this effectively. Must possess excellent verbal and written communication skills as well as interpersonal skills with patients, staff, and other healthcare professionals. Ability to diffuse difficult patients.
