O B RESPONSIBILITIES Accurately and efficiently enter outreach program enrollment forms in a usable data system Track outreach program enrollment and participation Run program participation reports Maintain spreadsheets and files on program expenses, budgets, invoices, etc. Track grant budgets and outcomes Assist with the daily bus schedules Record and type team and board meeting minutes and other meetings as assigned Maintain branch calendar Set up all community and board meeting logistics; room, food, copies of materials, AV equipment Serve as Strong Community Administrator during the campaign; attend meetings, maintain donation records, mailings, assist with special events, etc. Printing, typing, and organizing all work assigned by Branch Administration Administer branch new hire process and other HR items as assigned Enter and track POs and invoices for accurate accounts payable Assist Branch Administration in risk management and accident/incident forms Maintain a clean work and office space for maximum efficiency and work capacity All other duties as assigned
EFFECT ON END RESULT:
Ensure the smooth operations in all daily functions for the branch, financial documentation is reliable and current for supporting grants, and efficient systems are in place to support program operations.
Requirements
Education/Experience Requirements: Minimum age of 21 Relevant education or experience in office management, data entry and support
Physical/Mental Requirements: Must be able to routinely perform the following physical activities; climb stairs, bend, stoop, kneel, twist, reach with hands, sit, stand and/or sit for extended periods of time, walk, lift and/or move up to 30 pounds, have finger dexterity, grasp, perform repetitive motions, talk, hear and have visual acuity to perform detailed tasks Must have ability to communicate effectively; both orally and in writing Must possess problem solving, organizational and task management skills; ability to make independent and sound decisions in a rapidly changing environment Must be detail oriented and exhibit a high degree of accuracy and alertness Must exhibit initiative in the absence of supervision Must be able to relate to and work with diverse groups of people in a friendly and consistent manner Must work collaboratively as a team member as well as independently and lead by assigned goals, duties and deadlines Must possess ability to exercise high levels of discretion and confidentiality Must present a neat and professional appearance at all times
Job Requirements: Commitment to the YMCA mission, vision and values Must attend New Employee Orientation within 30 days of hire Complete CPR/AED, First Aid, and O2, in accordance with Conditions of Employment Learn all emergency procedures and action plans for the branch Understand and abide-by all policies and procedures as set forth by the association Work a schedule that reflects the needs of the branch
