ORGANIZATION MISSION:
The mission of Boys & Girls Clubs of Greater Tampa Bay is to provide high-quality, out-of-school Club experiences to ensure our young people, especially those who need us most, are on track to graduate from high school with a plan for their future, demonstrate good character & citizenship, and live a healthy lifestyle.
POSITION SUMMARY:
The Resource Development Operations Administrator is a key member of the Boys & Girls Clubs Resource Development team, responsible for managing the donor database and providing administrative and logistical support for fundraising initiatives, donor stewardship, events, and volunteer engagement. This role ensures data accuracy and integrity, enhances donor experiences, and helps drive successful development activities across the organization.
KEY RESPONSIBILITES:
Database Management (60%) Maintain and manage the donor database (e.g., MyClubHub, Salesforce, or other CRM), ensuring data is accurate, current, and organized. Process all donations, including entering gifts, generating tax receipts, and maintaining donor records. Generate reports, dashboards, and mailing lists for campaigns, stewardship, and communications. Work closely with finance to reconcile donation records and support monthly reporting.
Fundraising & Campaign Support (25%) Stewardship Management – help create and coordinate donor stewardship plans. Assist with annual fundraising campaigns, including donor appeals, digital campaigns, and sponsorship outreach. Support prospect research and prepare donor profiles and briefing materials.
Event Coordination (15%) Assist the RD Team in the planning and execution of fundraising events, including donor receptions, galas, and community outreach. Support all events with “on-hand” tasks, as needed. Ensure all event participants & event donations are correctly added to the database. Create specific event thank you messages for donors and sponsors.
QUALIFICATIONS: Bachelor’s degree or equivalent experience in nonprofit management, business, marketing, or a related field preferred. 1–3 years of experience in nonprofit development, event coordination, or database management preferred. Knowledge of donor stewardship best practices preferred. Proficiency in donor database software (e.g., Salesforce, etc.) and Microsoft Office Suite. Strong organizational skills with attention to detail and accuracy. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Passion for youth development and the mission of Boys & Girls Clubs.
TRAVEL:
Travel may be required to multiple Club facilities throughout Hillsborough, Pasco and Pinellas County for training and/or other business purposes.
