Overview
The Document Coordinator provides customer service for the record center and printed and electronic document control management, and other administrative duties in support of our corporate client's records management needs. The position is located onsite at our client location in Indianapolis, IN.
What you will be doing:
- Process, manage and provide printed documents, including requests, issuance and reconciliation as needed to support process teams and functional areas
- Track printed document requests and assist in expediting when needed
- Route, distribute, maintain Quality and L&D documents and records in electronic systems such as QualityDocs, Trackwise
- File/Re-file any document that is checked out of the library/repository and enter required information into database for new submissions/reconciliations
- Assists site and remote work employees with tasks such as printing, scanning, and proxy approval forms
- Enter required information for each request/submission into the LRM2 (document library database), providing sufficient key word descriptions to ensure easy retrieval
- Administrative duties include: label generation for folders and documents submitted; day-to-day organization of the filing system, shifting files when necessary; data entry of required information on the Request Submission, and Request Retrieval Tracking forms to ensure accurate metrics are available at month end; Generate reports on ad hoc basis
- Follows document SOP(s) and adheres to safe work environment protocols
- 2 - 4 years administrative or customer service experience in an office environment
- 1 - 2 years records management, data entry or similar experience a plus
- College degree preferred
- Proficiency in Microsoft Office (Outlook, Word & Excel), Teams a plus Demonstrated proficiency, speed and accuracy with alphanumeric data entry
- Experience with documentation in a regulated environment and electronic tracking of documents a plus. Experience in quality systems such as Trackwise, QualityDocs or other records management system
- Ability to climb stairs, bend and reach for filing, lift up to 40 lbs., and walk 1/4 mile between record centers up to twice per day and from parking lot to facility
- Availability for some overtime as needed to support internal or external audits
- Will be required to pass drug screen and background check
