Anticipated Hiring Salary Range: $35.02 / hour
THE ROLE AND RESPONSIBILITIES
Under the direction of the Deputy Director of Academic Program Services, the Senior Academic Program Services Coordinator is responsible for providing instructional, administrative, and program support to faculty, faculty-led research, and other programmatic centers including general administrative support to the academic program. The Academic Program Services Coordinator will demonstrate excellent customer skills, possess superior organization skills, and maintain impeccable attention to detail. The incumbent will be capable of managing multiple deadlines and priorities and is comfortable working in a fast-paced environment independently and as a team player.
The Senior Academic Program Services Coordinator will provide instructional and program support, including but not limited to:
Support of Academic Programs Involving Faculty (50%) Under the direction of Provost & Academic Dean and APS Directors, leads or co-leads projects related to the academic program or initiatives. Provides administrative support to faculty-led programs and centers. Coordinates all aspect of faculty-led center or program events, including pre-event coordination, day-of support, and post-event follow up. Responsibilities include managing logistics, publicity, developing materials, coordinating webpage and registration, and processing travel arrangements and reimbursements. Oversees and tracks program budgets and expenditures; prepares and maintains budget reports. Assist with data collection and data maintenance. Coordinates travel arrangements for faculty program directors. Maintains and updates departmental and academic program webpage. Supports special projects and performs general administrative duties related to centers and programs; handles other duties as assigned. Manages faculty office space assignments and facilitates office moves. Individual Faculty Support (50%)
Provides instructional and administrative support to the faculty. Performs document preparation to include research projects, examinations, presentations, reports, mailings, statistical reports, student evaluations, course readers, transcriptions, and a variety of class materials. Provides administrative support to faculty committees, as needed. Provides assistance with faculty fiscal related matters, faculty research accounts, expense reconcilement and reporting. Coordinates and hosts special events with faculty. Assists with data collection and assessment efforts. Monitors and maintains faculty lounge and mailboxes. Assists in special administrative projects for the Academic Program Services Department. Other special projects and duties as assigned. REQUIREMENTS
EDUCATION AND EXPERIENCE
Bachelor's degree preferred. Minimum of five years of related work experience in an Administrative or Program Coordinator role with increasing levels of responsibility. Must have California Notary Public License or able to obtain a license within the first 12 months of employment. KNOWLEDGE, SKILLS, AND EXPERIENCE
Excellent verbal and writing skills, with high attention to detail, accuracy, and presentation quality. Excellent administrative and office support skills; ability to move and learn quickly in a fast-paced environment and meet multiple deadlines effectively with good judgment with respect to project prioritization and time management. Advance skills in Microsoft Office Excel, Word, and PowerPoint; familiarity with social media tools; comfort with using or learning a variety of online tools such as Box, Doodle Polls, i-contact, Self Service, Canvas and CourseDog. Proven ability to work effectively both independently and as a team player. Ability to be proactive, creative, and solution/results-oriented. BENEFITS
