Description
Position Summary:
The Programming Department Coordinator will be primary event management support for the SR. Manager of Programming Operations as well as provide general event support for the programming department team including assisting with contract management, review and proofing, guest artist logistics, event detail entry for events, communicating with guest artists and guest artist management, rental and resident clients, and a broad range of staff. Through communication with production, ticketing, marketing, facilities, finance front of house and operations, this position will help ensure that events are implemented as planned, artists and clients are well provided for and communicated to, and programming staff functions are well supported.

Position Duties and Responsibilities:
- Ensures the logistical, clerical and administrative needs are met for programming and booking staff.
- Works in conjunction with SR. Manager of Programming Operations to develop and maintain resident and rental client relationships, including sharing event assignments.
- Maintains SharePoint event sites for assigned Presents, rentals and resident client events.
- Completes settlements for assigned shows.
- Advances all artist/show logistics for assigned Presents and Rental events. Includes, but not limited to, working with O-pa staff, artists, agents, and clients to collect information and create artist itineraries, communicating information to all O-pa departments, entering details in Momentus scheduling program, ensuring adherence to O-pa policies regarding event management, entering performance schedule, event details and diagrams, and preparing expense backup for settlement.
- Coordinates the Presents, and Rentals payment and venue licensing process tracking, and processes check requests for deposits and artist payments in accordance with the contract deadlines
- Assists Programming department team with artist and client communication and logistics between O-pa staff, agents and managers.
- Works with Programming department staff to assist in communicating to Presents artist and client information to all O-pa departments including marketing, technical, hospitality, and front-of-house information.
- Assists coordination of other Programming department events as assigned.
- O-pa representative to client or artist on assigned shows including on-site coordination during shows.
- Attends Operations Meetings.
- May perform other duties as assigned
Experience and Qualifications:
- One (1) year contract experience and familiarity with the performing arts industry.
- Must possess outstanding written and telephone communication skills.
- Must be adept in cultivating long term community relations.
- Requires resourcefulness, professionalism, high degree of motivation and ability to work well under pressure.
- Requires high-energy individual with extremely focused attention to details.
- Must have the ability to handle multiple projects simultaneously and demonstrate good judgment and mature decision-making ability.
- Must be a proactive self-starter with strong interpersonal skills.
- Must be able to read, understand and complete production settlements.
- Microsoft Office Products (Word, Excel, Outlook, Access and PowerPoint).
- Experience in artist coordination, backstage/technical theatrical production, front-of-house procedures, and event production preferred.
- Experience with Momentus preferred.
- Must be able to work multiple nights and weekends.
- Knowledge of specialized principles or techniques equivalent to that which would normally be obtained through a formal four-year college/university academic program or an in-depth specialized training program directly related to the type of work being performed.
- Working knowledge of contract management solutions preferred.
