The Department of Clinical Sciences mission is to assure the health and productivity of animals to meet societal needs through high quality educational programs for professional veterinary medical students, graduate veterinarians, and the public through a faculty and veterinary medical center of excellence, and to advance and disseminate comparative biomedical knowledge in an environment of interdisciplinary collaboration.

Position Summary
The Continuing Education Events & Hospitality Assistant Coordinator provides essential support in the planning, coordination, and execution of continuing education (CE) courses and related events. This position assists with a range of logistical and operational tasks, including scheduling, event setup, materials preparation, and event coordination. The role is also central to creating a positive and professional in-person experience for all CE course participants, instructors, and institutional guests.
The Assistant Coordinator ensures that all details are executed smoothly and that guests receive a high level of service and support throughout their visit. This position requires strong organizational skills, attention to detail, effective communication, and a collaborative mindset.
Position Minimum Qualifications
Required: B.A./B.S.
1-3 years of relevant professional experience with customer service.
Successful candidate must be legally authorized to work in the United States by time of application; the TMI /Clinical Sciences department will not provide visa sponsorship for these positions
Preferred Qualifications
Degree in Hospitality, Events, Marketing, Project Management or Sales.
Demonstrated ability to organize, prioritize and manage multiple work projects and types of activities while meeting deadlines (i.e., project management) or Project Management Program certification.
1-3 years of relevant professional experience with facility coordination.
Troubleshooting problems and providing customer/stakeholder support.
Excellent communication, team/interpersonal skills, and customer service.
Exemplary organizational, detail and time management skills.
Fluency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and zoom.

Duty/Responsibility
Collect registration information.
Communicates and understands participants, sponsors and instructors' needs for the course.
Set up of lounge and lounge amenities.
Front-facing employee who will work at the registration table to greet all incoming attendees, sponsors and instructors for the course or event.
Welcoming everyone to the Lounge, Tiered Classroom and CE Lab space and providing hospitality support for them throughout the course/event time period.
Help wrap up the course, making sure everyone knows the next steps after they leave the building and continuing to provide a great experience even after they have left. Going through and resetting the spaces for the next course/event to occur.

Duty/Responsibility
Work on TMI CE Operating Program (Monday.com) with outside stakeholders to better communicate details like agendas, shuttles, instructors, contracts, etc.
Collaborate with members of the AV team in support of onsite CE course delivery, development of promotional materials, etc.
Collaborate with members of the Communications and Outreach team to proactively develop strategic marketing campaigns for our online, onsite and blended CE courses (including development of impactful digital assets, identification of strategic channels of distribution, and tracking of effectiveness).
Social media management to help promote the program.
Provide administration support for the Continuing Education Events and Hospitality Manager and Coordinator.
Support in event planning and management beyond the normal Continuing Education courses.
