When you join Design Group as an Office Administrator, you are joining a team that will challenge you and position you for growth. In this role, you will work with a team of industry experts to help the world's leading companies solve their most difficult problems. You will join our AEC Practice and partner with seasoned leaders, technical specialists, and subject matter experts to deliver the highest quality solutions to our clients with consistency and accuracy. You'll work individually and in teams to support capital projects and implement solutions for our clients. Together, you will help our clients make critical changes to improve their performance and realize their most important goals. Provide general administrative support for a large engineering consulting office Serve as the professional first point of contact, greeting clients, vendors, candidates, and senior leaders while managing front desk inquiries, mail, and maintaining a polished, client-ready office environment Provide senior-level leader support including complex calendar management, scheduling C-level visits, arranging travel, expenses and handling all interactions with discretion and professionalism Coordinate logistics for client meetings, leadership meetings, candidate interviews, and office events & celebrations, ensuring smooth execution and managing catering and setup as needed Create and edit professional documents such as presentations, reports, manuals, and intranet posts for local and executive audiences Track office and project-related expenses, assist with budget and monthly reporting, and prepare weekly updates for regional leadership Support HR functions including interview scheduling and new hire onboarding in collaboration with hiring managers and corporate teams Maintain Emergency Action Plans and act as a liaison between corporate departments (IT, HR, Finance, Safety) and local office staff Maintain, track and generally oversee office supplies, technology, and equipment needs Communicate and coordinate with building management regarding maintenance and service needs What You'll Bring 7+ years of administrative or office management experience in professional services, AEC, consulting, or corporate environments Demonstrated experience supporting a large or regional office and engaging professionally with senior leaders, team members, corporate staff, clients, vendors, and candidates Excellent written and verbal communication skills with the ability to draft polished, client-facing documents and correspondence Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), experience with Visio or SharePoint is a plus Ability to quickly learn, navigate, and guide others using business software tools such as Workday (HRIS), Concur Travel, electronic expense reporting and other company systems Strong multitasking and organizational skills with the ability to prioritize competing demands and stay composed under pressure A customer service mindset with hospitality-level attention to detail and responsiveness High school diploma required, associate or bachelor's degree in business administration or related field preferred Our culture and commitment to our people is what sets us apart.
