Reporting to the Director of Business Services within the Operations Department, the Procurement Operations Coordinator plays a key role in supporting and streamlining the day-to-day functions. This full time position is responsible for managing procurement workflows, supporting vendor relationships, tracking documentation, and ensuring compliance with internal purchasing procedures.
The Procurement Operations Coordinator will serve as a key liaison between internal departments and external vendors, ensuring timely, cost-effective, and policy-compliant purchasing activity to support the school's mission and operations. Procurement & Vendor Coordination Process purchase requisitions and orders; track and maintain order records Support vendor onboarding, qualifications, and compliance documentation Assist with preparation and distribution of RFQs, RFPs, and bid documentation Assures cost optimization and quality service/products during procurement process. Monitor inventory levels and reorder supplies as needed Administrative & Compliance Support Maintain accurate records of contracts, purchase orders, and invoices Coordinate with Finance for invoice approval and discrepancy resolution Ensure adherence to procurement guidelines and budgetary procedures Prepare procurement reports and assist with audit documentation as needed Partners with key internal stakeholders to continually improve work process. Develop vendor lists and provides advice to management during the procurement process. Communication & Collaboration Serve as a point of contact for procurement-related questions across departments Communicate with vendors to ensure timely delivery and service quality Collaborate with internal teams to understand needs and align purchasing decisions Qualifications
Associate's or Bachelor's degree in Business Administration, Supply Chain Management, or a related field preferred Minimum of 2 years of experience in procurement, purchasing, or administrative operations Strong communication, organizational, and problem-solving skills Proficiency with Microsoft Office Suite (especially Excel); familiarity with ERP systems a plus Ability to manage multiple priorities in a fast-paced environment Strong attention to detail and data accuracy Experience in educational, nonprofit, or government settings is a plus
