UNDERSTANDING THE ROLE
We are seeking a highly organized and motivated professional to lead the planning and execution of business development and marketing events across the Central US region. This individual will be responsible for delivering high-impact experiences that elevate our brand, engage current and prospective clients, and support regional growth goals.
Key events include advisory council convenings, year-end client holiday receptions, conference dinners and receptions, sector consortiums, select regional conferences, and select internal meetings and events. In addition to managing event execution, this role will contribute to shaping event strategy based on evolving sector trends and business needs within the region.
The ideal candidate thrives in a fast-paced environment, brings strong relationship management skills, and demonstrates sound judgment, creativity, and precision in managing event details.
RESPONSIBILITIES
Event Planning & Logistics Manage end-to-end planning and logistics for all Central US regional events - from building an initial concept to leading planning meetings to reporting out on event KPIs. Select and coordinate with venues and event hosts. Coordinate speaker and panelist communications (as applicable), including travel and accommodation when necessary. Develop and manage invitations, timelines, and internal communications. Create or oversee the production of event collateral, including signage, name badges, agendas, and branded materials. Support project management for additional strategic event collateral, including presentation content and speaking notes. Event Execution & Follow-Up
Attend select events to manage onsite logistics and ensure seamless execution. Provide conference booth support on an as-needed basis. Deliver a thoughtful and inclusive guest experience, ensuring dietary needs, accessibility requirements, and hospitality standards are met. Manage RSVP tracking, guest lists, parking, and real-time adjustments. Prepare tailored briefing materials/attendee guides for regional conferences to ensure internal stakeholders are equipped to engage effectively with key organizational leaders. Coordinate logistical aspects of registration and booth management for regional conferences, including attendee sign-up and payment processing. Lead post-event follow-up, including thank-you communications and debrief conversations with key internal stakeholders. Track and analyze event data, report on key performance indicators (KPIs), and use insights to inform future planning. Budget & Vendor Oversight
Develop and manage event budgets, in coordination with the business development and marketing departments, ensuring effective use of resources and alignment with event goals. Source, negotiate, and oversee third-party vendors (e.g., venues, catering, AV). Manage vendor relationships to ensure quality execution and brand consistency. Strategic Alignment
Partner with regional leadership and business development/marketing teams to ensure events align with and advance strategic priorities, relationship-building goals, evolving sector trends, and business needs. Evaluate event impact using metrics, feedback, and qualitative insights to refine strategy and execution. Representative Event Types

3-7 years of experience in event planning; experience in professional services or nonprofit sectors a plus Demonstrated success managing multiple, complex events from start to finish Excellent project management, communication, and problem-solving skills Ability to balance detail-oriented execution with strategic alignment Strong interpersonal skills and the ability to build cross-functional relationships Willingness to travel regionally as needed to support onsite event logistics

SALARY RANGE:
$60,000 - $80,000
