Job Summary:
The Coordinator of Events Planning provides operational direction for campus events through supervision, coordination, planning, and implementation of services to ensure the successful delivery of internal and external campus events and management of campus fleet.
Supervisory Responsibilities: Recruitment, interviewing, and hiring of student workers Training of new student workers Daily supervision of student workers Essential Responsibilities:
Delivers an exceptional level of customer experience for internal and external customers, consistently seeking feedback for continuous improvement Assist with management of the ASTRA events calendar through events scheduling system, reviewing, approving, and confirming event needs to ensure optimization of campus spaces and available resource Participates in internal and external event planning meetings as requested, providing operational expertise and other relevant recommendations Recruits and manages student team, and establishes weekly event staffing schedule to support event needs Creates set-up plans for student team, coordinating and assisting with the physical moving of furniture and University assets for event set-up/breakdowns as necessary Provides quality control and oversight of events, ensuring event set- ups comply with work plan and event is coordinates with campus service providers Manages the campus transportation scheduling of university fleet vehicles Provides insight on continuous process improvement for the Events function Other duties and responsibilities as assigned Required Knowledge, Skills, and Abilities:
Professional demeanor Excellent communication skills Strong organizational skills Customer focused; eager to please Ability to work in a matrix organization Proficient use of computers and Microsoft Office Capability to learn and understand the AdAstra Scheduling Software Basic knowledge and understanding of audio and visual equipment. Can adapt and improvise to unforeseen situations in a stressful, fast-paced environment Education and Experience:
Bachelor's degree or 2-4 years of relevant experience Must have a valid driver's license Experienced in the setup of large events Supervisory experience a preferred Physical Requirements and Working Conditions:
Intermittently sitting, standing, or stooping Ability to lift 70+ lbs. and heavy objects for extended periods of time Outdoor exposure to weather May have an alternative work schedule May be required to be on-call Occasional travel
