Position Title Events Setup Coordinator

Position Summary
The Event Setup Coordinator will plan, setup, and execute campus events. This includes booking event spaces, contacting clients, identifying setup & technical requirements, and breakdown of events.
Education/Experience
Bachelor's Degree or equivalent combination of education and experience in the event industry. Experience with audio visual equipment. Experience with scheduling software & diagram software a plus. Must have a valid driver's license with a good driving record. Must be insurable.
Knowledge/Skills/Ability Must provide exceptional customer service and maintain a positive relationship with internal and external clients to meet or exceed expectations. Proficiency in Ad Astra, All Seated, or similar software is a plus. Must be computer literate with experience in Windows and Mac environments. Audio/visual skills including portable and installed audio system setup & operation, video switching, experience with projection equipment, basic lighting, and automation systems. Ability to work a flexible schedule that includes evenings and/or weekends, as specified by supervisor. Ability to travel between campuses. Ability to meet deadlines and work well under pressure. Maintain professional appearance. Physical Requirements
Medium work: Exerting up to 50 pounds of force occasionally and/or up to 10 pounds of force constantly to move objects. Climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, bending, pushing, stooping, keyboarding, grasping, feeling, talking, hearing, repetitive motions. Visual acuity to read/interpret room setup and AV/computer setup. Because of responsibility for campus events, the position requires non-traditional hours including evenings, weekends and occasional holidays.
Essential Functions
Daily execution of campus events, including set-up, overseeing, and breakdown. Use the SU Scheduler (Ad Astra) to view and update events as needed. Use All Seated to create diagrams for clients in planning events and to help with room setup. Maintain inventory of event equipment including audio/visual, tables, chairs, podiums, linens, etc. Oversee event breakdown and ensure equipment is returned to the appropriate storage area. Communicate with internal departments, student clubs & organizations, and external guests to ensure that event needs are met. Follow up after events to ensure everything went as planned and note and issues that may have arisen. Setup, maintain, and operate audio/visual equipment. Attend meetings to provide direction and advice to internal departments and external clients concerning setup needs as well as audio visual requests Communicate with clients when submitted requests are not complete. Coordinate with catering, housekeeping, facilities, and security to ensure all facets of an event are covered. Assist Senior Event Coordinator in keeping inventory lists updated as well as A/V logs and recommendations on repairs/upgrades. Display exceptional customer service skills in all aspects of the job.
