District Winery-Junior Event Manager

Position Summary
The Junior Event Manager will coordinate and manage private events with the responsibility for post-sale client management as well as ensuring the events themselves run smoothly and efficiently. The Junior Event Manager will also support Event Managers in the management and execution of events. This position requires a calm demeanor during fast paced and intense situations, attentiveness to all aspects of an event, and the ability to easily communicate and manage an event.This position will report directly to the Director of Events.
Core Responsibilities
Event Management & Logistics: Manage event staff, setup and breakdown of the space for events on days where Banquet Manager is not present Interface with culinary team to ensure proper delivery & coordination of food service Manage all BEOs, Floor plans, and other administrative documents for events Support Event Managers in the coordination and execution of events including printed materials, signage and google drive organization. Liaise with external vendors leading up to and throughout the event Implement event execution procedures as per the First Batch vision and standards Manage all aspects of the event planning process, including confirming details with vendors etc. Anticipate potential client questions, issues and conflicts and proactively troubleshoot Proactively engage with guests to ensure a positive experience Partner with Banquet Manager and Captain to ensure the event is executed to plan Manage all event staff, run pre-shift meetings, to ensure the FOH staff has clear communication on their job responsibilities. Interface with culinary team to ensure proper delivery & coordination of food service Responsible for all BEOs, Floor plans, and other administrative documents for events Attend weekly meetings with various departments to review details of the operations. Liaise with external vendors leading up to and throughout the event, including coordinating deliveries and pick-up Assist with event tasting scheduling and management Assist with all printed materials and signage for the event department Fields any requests for site visits that fall outside of normal walk throughs, ie with parents, vendors etc. Monitor staff performance and guest experience during scheduled shifts Communication & Engagement:
Manage client relationships and respond quickly and efficiently to client questions and concerns via email and phone. Proactively engage with guests to ensure a positive experience Act as the main point of contact for event clients immediately following booking, and throughout the planning process and during the event. Manage client relationships and respond quickly and efficiently to client questions and concerns across all forms of communication ( phone, email and in-person) Attend quarterly tastings and assist with client questions as well as service of the event. Maximize revenue opportunities through up-selling event related enhancements Clearly communicate details of client's requests to colleagues in the appropriate department(s) to ensure the event is executed to the client's expectations Role Requirements
Minimum 2 years experience in event administration, client management, and event execution Proven background and knowledge of strategizing and executing on-premise events. Appreciation and general understanding of the hospitality, food, and wine business. Exceptional attention to detail and organizational skills; results oriented. Exceptional communication and interpersonal skills both written and verbal. Able and willing to work a flexible schedule including days, nights, weekends, and holidays. Must be proficient in tools such as tripleseat, merri, social tables, google doc, word, excel Knowledge of and appreciation of wine strongly preferred Physical Requirements
Flexible schedule with all nights and weekends available Able to independently lift up to 50lbs for an extended period of time Must be able to walk and/or stand for 8-10 hours per day Hand-eye coordination Reaching, bending twisting, stooping Pushing and Pulling Lifting overhead Must be able to climb stairs in venue that have multiple levels Compensation
