PRIMARY FUNCTIONS:
This position is responsible for the supervision of front desk receptionists at designated clinic sites, assisting managers and directors with administrative processes, and performing the duties of a front desk staff when necessary.
DUTIES/ RESPONSIBILITIES: ( Essential Functions:

Provides leadership to team of front desk staff, as well as training for new hires and changes in front desk procedure. Ensures that employees have the resources, tools, and training needed to perform their duties. Ensures that all patients are greeted warmly and that a welcoming environment is maintained for all Neighborhood Health patients. Ensures that patient registration packets are fully completed by patients and that front desk staff verify the forms before the patient leaves the office. Ensures that all patient information (demographics, rendering provider, eligibility and insurance details, pharmacy, and other required fields) is accurately and completely entered into the EMR. Ensures that patient eligibility status and insurance coverage are verified prior to every visit. Ensures co-pays or deductibles are collected prior to patient being seen by the provider. Ensures payment is posted accurately. Serves as the point of contact for the front desk to escalate patient grievances when other front desk staff members are unable to resolve them. Works with the Office Manager to manage staff time sheet to ensure employees are paid accurately. Maintains schedule for staffing to ensure adequate coverage is available. Works with the Office Manager to manage the performance of staff, including evaluations and disciplinary action. Performs the role of front desk staff, phone attendant, or enrollment specialist when staffing needs require. Answers patient questions and responds or resolves patient concerns or frustrations. Performs other tasks as instructed by manager. Manages inventory of office supplies and coordinate reordering with the Business Manager Maintains cleanliness and professional appearance of the front office area, patient waiting areas and office files Attends scheduled staff meeting and other meetings as needed Adheres to Neighborhood Health Policies and Procedure Maintain confidentiality of all patient records (HIPAA compliance) OTHER DUTIES:
Assist with developing, coordinating and recommending changes for the improvement of workflow in the program or section area May be assigned to various project Lead roles to advance the development of the department and support ad hoc needs Must be able to rotate between different locations. Able to work on the weekend or evening hours if needed Able to work under minimal supervision Employee will be asked to perform additional duties and take on other responsibilities as dictated by events and circumstances Other duties as assigned QUALIFICATION/EDUCATION and/or EXPERIENCE REQUIREMENTS:
High school graduate/GED with a minimum of 3 years' experience in the medical field answering phones, setting appointments and handling patients questions and/or complaints Knowledge of medical billing and insurance related to medical and dental Ability to relate to patients, through familiarity with medical terminology and triage procedure Demonstrated ability to build and maintain good customer rapport Excellent interpersonal communication skills and the ability to work effectively with a diverse work force and client base Experience with information technology, electronic health records, medical records, culturally diverse populations and care of underserved populations Knowledge of local health care environment Ability to speak read and write in English or Spanish preferred
