Job Summary:

The Proposal Writer is responsible for developing, writing, and coordinating responses to requests for proposals (RFPs), requests for qualifications (RFQs), and requests for information (RFIs) related to commercial janitorial services. This role involves close collaboration with operations, sales, and leadership teams to create professional, customized proposals that align with client requirements and company capabilities.

Proven experience writing proposals, preferably in janitorial or facility services

Exceptional written communication, editing, and organizational skills

Strong attention to detail with the ability to meet strict deadlines

Proficient in Microsoft Word, Excel, and Adobe Acrobat; experience with proposal management tools is a plus

Understanding of commercial cleaning terminology, operations, and contract language is highly desirable

Ability to work independently and collaborate CROSS FUNCTIONALLY

Key Responsibilities:

Analyze bid opportunities and determine proposal requirements, timelines, and deliverables

Develop persuasive, customized written responses for RFPs, RFQs, and RFIs

Coordinate with internal teams to gather relevant operational, financial, and staffing information

Ensure all proposals meet formatting, compliance, and content standards

Maintain an organized library of proposal templates, standard responses, and supporting documents

Assist in pricing strategies and cost proposals, working with operations and finance

Track bid outcomes and provide insights to improve future responses

Support presentations or interview preparation when needed

Competitive salary and commissions program:

Starting salary based on industry experience, education and other relevant qualifications.

Earnings Expectations $75,000+

annually.
