Senior Recruiting Coordinator
to serve as a central operational partner to our direct sourcing recruitment team. This role is pivotal in streamlining the recruitment workflow, gathering data, and providing system oversight. They will be managing key hiring operations and supporting workforce planning and talent initiatives for key client accounts. The ideal candidate is analytical, process-driven, and excels at stakeholder management and operational excellence. This is a role responsible for recruitment coordination and operating in systems, supporting reporting, and coordination functions that directly influence hiring outcomes, candidate experience, and recruiter efficiency. Responsibilities of the Senior Recruiting Coordinator:
Recruitment Operations:
Act as the primary liaison between recruitment teams, onboarding teams, and MSP stakeholders to ensure efficient and accurate requisition flow, candidate tracking, and operational escalations.
Identify areas of inefficiency within the recruitment lifecycle and proactively recommend solutions to improve recruiter performance and candidate experience.
Post, update, and audit job postings via the appropriate technology platform and ensure appropriate candidate flow, and make recommendations as needed.
Maintain the account applicable group inbox, including but not limited to:
Accepting requisitions.
Circulating requisition updates.
Scheduling intake calls with clients.
Tagging applicable Recruiters as needed for updates.
Scheduling and managing interview requests.
Managing candidate surveys.
Play a crucial role within a fast-paced and laser-focused recruiting team, working to coordinate onsite, phone, and virtual candidate interviews.
Ensure candidates receive interview links promptly and assist candidates with technical issues regarding interviews.
Systems and Data Oversight:
Oversee data integrity and usage of systems such as iCIMS, Fieldglass, DS technology, and internal trackers; ensure all candidate and requisition records are accurate and up-to-date.
Conduct regular audits of requisition and candidate data across platforms to ensure compliance and enable accurate reporting.
Lead weekly reporting deliverables, including submission metrics, hiring funnel status reports, and trend analyses for client QBRs and internal dashboards.
Generate accurate client-specific reports such as Cox Submission Reports, Start/End audits, and Talent Pool summaries.
Collaborate with IT and Talent Tech teams to resolve technology issues, track DS tickets, and test system enhancements.
Internal Project Management:
Support Direct Sourcing leadership in preparation of draft client-facing presentations, including QBR and ABR decks, with support from recruiters and account managers.
Prepare and support the drafting of internal QBR and ABR drafts for internal executive leadership.
Collaborate with Recruitment Marketing to highlight “hot jobs” and support ideas for outreach campaigns and newsletters.
Support organization and optimization of talent communities independently as well as in collaboration with our Recruitment Marketing team.
Conduct regular audits to ensure job postings are compliant and properly posted.
Coordinate and project manage initiatives tied to onboarding efficiency, candidate satisfaction, and recruiter performance metrics.
Process Leadership and Continuous Improvement:
Recommend enhancements to onboarding processes, requisition management, and communication workflows based on data and candidate/recruiter feedback.
Standardize documentation for recurring tasks, process flows, and escalation handling across accounts.
Mentor and guide other coordinators or recruiters on best practices for data entry, candidate communication, and client reporting.
Serve as the escalation point for recruiter support requests, associate inquiries, and client process bottlenecks.
Required Experience/Skills for the Senior Recruitment Operations Coordinator:

Experience: 2 - 4 years in a recruitment operations, HR operations, or staffing coordination role; staffing agency or contingent workforce experience strongly preferred.
Analytical mindset: Proven ability to gather and interpret recruiting data, identify patterns, and draft actionable insights for consideration.
Project management: Able to independently manage recurring deliverables and prioritize competing demands in a deadline-driven environment.
Stakeholder collaboration: Strong communication and relationship-building skills to partner with recruiters, leadership, onboarding teams, and external clients.
Technology proficiency: Experience using applicant tracking systems such as iCIMS, VMS tools (e.g., Fieldglass), and advanced Excel/Google Sheets functionality.
Physical Requirements:
Ability to sit for extended periods of time.
Education Requirements:
Bachelor’s degree required; HR certification or PMP is a plus.
