We are seeking an experienced
Accounts Payable & HR Specialist
to join our General & Administrative (G&A) team at the Lodge. This dynamic, hands-on role focuses on daily accounting operations and human resources assistance, while also supporting office administration. The ideal candidate brings a high standard of excellence, attention to detail, and a genuine enthusiasm for working in a relationship-oriented and rustic hospitality environment.
The Accounts Payable & HR Specialist works closely with the General Manager and collaborates with multiple departments across the lodge. Responsibilities include managing accounts payable functions, performing daily audits, assist in HR investigations and interviews, onboarding new hires, maintaining inventory for supplies and uniforms, and offering general office and operational support. This role is a great fit for someone who thrives in a fast-paced setting and values strong internal and external relationships-with employees, vendors, and guests alike.
Qualifications
ESSENTIAL DUTIES AND RESPONSIBILITIES
Accounts Payable Perform daily audit of accounting transactions Manage and process invoices daily, ensuring timely and accurate entry Investigate past-due, unpaid, or duplicate invoices Scan and upload bills into QuickBooks Execute weekly bill payments and reconcile records Manage and research travel agent fees Process and code all online and credit card purchases Handle vendor chargebacks and related communication Maintain ATM machines Maintain and balance safe monthly Office, Operations & Inventory Support
Order and manage inventory for office supplies and employee uniforms Maintain and organize uniform storage; issue and collect uniforms as needed Support other administrative and operational support tasks and projects as assigned HR Support
Assist in intake and interviews of employee concerns Conduct weekly onboarding sessions for new hires Collaborate using HR tools, including Paycom Assist with maintaining compliance with California employment laws Culture
Support a fun, friendly culture and high hospitality standard among our team Energize our team and help them understand our standards and expectations Interact with guests in a manner that promotes the warmth and friendliness of the lodges When opportunities arise, support interns in our Internship Program to help them be most successful in their work and at the lodges Multi-lodge support
While primarily working out of one lodge, travel to other two lodges as needed Transport staff from time-to-time when needs arise Be available as needed, where needed, to support operations and housing team with HR issues MINIMUM PREFERRED EDUCATION & EXPERIENCE
2+ years of accounting or accounts payable experience 18 years or older Proficient in Excel, QuickBooks Working knowledge of California employment law COMPETENCIES/REQUIRED SKILLS AND ABILITIES
Exceptional verbal and written communication skills Able to communicate well and professionally with line staff, peers and supervisors Poised and steady Organizational skills Attention to detail Able to follow instructions accurately Capable of self-management and prioritizing daily tasks Able to smile and provide warm, heartfelt hospitality to staff and guests Able to answer staff and guest questions and give appropriate guidance Able to work safely to avoid injuries and accidents, including wearing proper Personal Protective Equipment Excited about creating a warm, family atmosphere for guests and staff while maintaining high standards High integrity Mature and personable with a relaxed nature Leading a healthy, drug-free lifestyle Dynamic, fun, and likes living in a remote/rural environment Flexible with a "whatever it takes" attitude WORK ENVIRONMENT AND PHYSICAL DEMANDS
Physical environment requires the employee to work both inside and outside in heat/cold, wet/humid, and dry/arid conditions Frequent walking, twisting, bending, reaching, sitting, climbing stairs Lifting up to 30 pounds Work hours and schedule flexibility to support the needs of our multifaceted year-round hospitality businesses DETAILS/BENEFITS
Full time position available immediately 40 hours of sick pay for the first year Healthcare benefits available within 90 days 401K eligible with company match after 1 year Regular work schedule withspecific days off will be established Room and board available for fixed weekly cost both onsite and offsite
