Position Overview We are actively recruiting for 2 Senior Administrators in the following areas:
Natural Sciences and Math
Engineering
The Senior Administrator is responsible for providing comprehensive administrative and operational support to ensure the efficient functioning of academic departments and programs. This role involves complex office management, strategic coordination of academic processes, and collaboration with faculty, staff, students, and external stakeholders to support institutional goals.
Primary Responsibilities: Serve as the primary point of contact for academic departments, providing excellent customer services and addressing inquiries from faculty, staff, students, and external parties in a timely manner.
Manage and track department budgets, including expense reporting, purchasing, and reimbursements, research and sponsored program funding, while adhering to institutional guidelines.
Provide comprehensive and strategic administrative support, including contract management and oversight, scheduling, communication, maintaining records, and handling special projects in coordination with the Office of the Provost.
Prepare, submit, and track contracts for adjunct lecturers, guest lecturers, vendors, and other external contributors.
Prepare and process Human Resources paperwork such as faculty job postings, HRFAFs, and HRAAFs to ensure personnel changes are processed in a timely manner.
Organize and maintain physical and electronic files, including accreditation and regulatory documentation.
Facilitate the hiring process for student workers, managing job postings and paperwork, and monitor student hours to align with budget projections.
Plan and execute meetings, workshops, and events, managing pre- and post-event logistics, ensuring all aspects of event needs are met including reserving space, equipment, materials and catering. Collaborate with other departments as needed to streamline events and program coordination.
Perform other duties as assigned.
Qualifications: Education: Bachelor’s degree required; advanced degree strongly preferred.
Experience: Minimum of 7 years in administrative roles, with extensive experience in higher education or complex institutional settings.
Skills: Demonstrated ability to convey information in a professional and friendly manner while providing a high-quality customer service experience.
Demonstrated organizational and multitasking skills.
Advanced proficiency in Microsoft Office Suite and Google Workspace.
Demonstrated communication skills, both written and verbal.
Expert-level financial and budgetary management.
Demonstrated leadership and process optimization skills.
High-level project management and strategic planning experience.
Advanced proficiency in data management and institutional compliance. (Ex. Tableau, Jenzabar, Slate or other CRM)
Demonstrated ability to handle complex interactions with professionalism and composure
