Dinsmore is seeking a Senior Facilities Coordinator at our Cincinnati, OH location. The Senior Facilities Coordinator will have a proven track record of managing office operations and facilities in fast-paced, professional environments.

Responsibilities

Perform daily office walkthroughs to identify and resolve issues related to lighting, cleanliness, temperature, and space functionality. Monitor condition of appliances, restrooms, and shared spaces-ensure everything is presentable and operational. Respond to issues with urgency and professionalism When dealing with facility issues, set expectations regarding corrective action, provide courteous, solutions-oriented responses and follow through until the issue is resolved Provide clear and prompt communication office wide regarding any Facility issues or important building announcements Ensure janitorial, coffee/vending, HVAC, and other service vendors perform as expected; document and escalate concerns. Report landlord-related deficiencies and follow up to resolution Develop and maintain a preferred vendor list based on performance, cost-effectiveness, and compliance. Use vendor list to help maintain an issue free workspace. Manage outside vendors, their timely completion of contracted work, and payment of their invoices Support preventative maintenance schedules by coordinating with vendors and inspecting upcoming needs Partner with HR, IT and Office Services to prepare workspaces for new hires or employee exits Maintain accuracy of office intranet floor map Coordinate conference room and event setup and takedown for client or team events Support internal moves, reconfigurations, and office space readiness to support business needs. Manage relationship with chosen local moving vendor and oversee all internal furniture moves and any necessary decommission of furniture Assist with light-duty installs such as artwork and furniture assembly Maintain surplus furniture inventory for reuse or disposal Represent the Firm with building management and security Firmwide

Partner with Regional Office Administrators (ROA) and Director of Real Estate to develop annual Facilities budget spreadsheet. Track facility expenses monthly and compare to annual budget Process facility invoices as needed Develop and maintain office specific Facility Vendor list Order new furniture as directed, confirming dimensions, quality, and finishes. Coordinate install with vendor and ROA. In cases of new spaces (mergers, relocations), serve as project manager for furniture installations as assigned Review facility vendor proposals for proper scope; route as appropriate to obtain additional information/approvals Serve as primary point of contact and coordinate construction and renovation projects by working closely with ROA, architects, and contractors Serve as move coordinator during office relocations by selecting move vendors, preparing phase plans when necessary, communicating move instructions and coordinating move with IT, contractors, and office occupants Support Director of Real Estate and ROAs with facility related projects as needed Requirements

A strong background with proven experience in facilities and operations, including facility supervision, maintenance and janitorial services, project coordination and execution Experience and knowledge of construction, office leases, utilities management, maintenance, and repair preferred Strong verbal and written communication skills to be used to determine the firm's facility needs, create constructive relationships with vendors, and positively communicate facility issues to all Dinsmore attorneys and business professionals The ability to plan, delegate and evaluate progress toward goals is necessary for managing projects Strong problem-solving skills Ability to manage multiple deadlines from multiple departments Proven success as a positive team player, as well as a proactive, independent worker Physical ability to perform tasks requiring bending, lifting, and climbing 30% Travel (occasional renovation/relocation projects) Valid driver's license and reliable transportation Availability for occasional after-hours emergencies or weekend support Bachelor's degree from accredited college or university or equivalent experience Proficiency in Microsoft Office applications, with emphasis in Excel Law firm or service industry experience preferred
