Position Summary:
The Recruiting Coordinator supports the talent acquisition team by coordinating interviews, managing candidate communication, processing offer letters, and onboarding new hires. This role works closely with recruiters to ensure a seamless recruitment lifecycle and amazing candidate experience while maintaining accurate records in the applicant tracking system (ATS) and contributing to process improvements.
Key Functions and Responsibilities:
Share postings on LinkedIn and social media; assist with ad hoc postings (AZ Dept of Ed, Handshake, Workforce portals). Review resumes for minimum qualifications. Assist with conducting initial phone screens Send calendar invites or coordinate on site logistics with candidates and hiring panel. Prepare interview materials (resumes, scorecards). Follow up post-interview with thank-you and next steps. Schedule debrief meetings if needed. Initiate and track background checks. Follow up on delays to the hiring process and escalate issues to HR. Ensure compliance with company/legal requirements. Prepare offer letters with HR. Send offers, confirm receipt, and track acceptance. Confirm start dates, send welcome and first-day emails. Track metrics (time-to-fill, pipeline health, source effectiveness). Update recruiting trackers and dashboards. Identify bottlenecks and suggest improvements. Skills/Abilities and Expectations:

Associate’s degree in business, HR, or related field OR equivalent experience. 2+ years recruitment coordination experience. 1+ year candidate sourcing or ATS experience preferred. Proficiency in ATS platforms, Microsoft Office, Zoom/Teams. Knowledge of recruitment best practices and employment law. Strong organization, multitasking, and communication skills. Environmental Conditions:
This role operates in a professional office environment with standard equipment such as computers, phones, and printers The position may be hybrid, with a combination of remote work and in-office expectations depending on departmental needs and leadership approval Prolonged periods of sitting, keyboarding, and screen time are required Must be able to work in a moderately quiet environment and manage multiple tasks with frequent interruptions Reliable internet access is required when working remotely
