Director of Residences / Chief of Staff
to oversee operations across a multi-property portfolio consisting of seven luxury estates and four private yachts. Based in San Francisco, this role requires a seasoned professional with exceptional leadership skills, a systems-driven mindset, and the ability to set a gold standard of service across all properties. This is a hands-on, high-accountability position requiring travel and deep operational oversight. The ideal candidate will have 10–15 years of experience in estate management, private service, or luxury hospitality, and a proven ability to build systems, manage cross-functional teams, and ensure seamless performance across high-value assets. Key Responsibilities • Direct all daily operations across seven private residences and four yachts • Conduct regular inspections and implement preventative maintenance protocols • Oversee complex systems including Savant, Lutron, and other smart home technologies • Develop and maintain manuals, procedures, and estate documentation to standardize operations • Serve as point of contact for all major property projects, including construction, renovations, and new development • Manage relationships and contracts with vendors, contractors, and specialty service providers • Lead special projects such as property transitions, buildouts, and infrastructure enhancements • Represent ownership in new estate development including large-scale residential and agricultural projects • Manage the care, cataloging, and insurance of fine art, antiques, and high-value collections • Oversee appraisals, acquisitions, and sales through auction houses and galleries • Maintain detailed inventories using platforms such as Collector Systems and Monday.com Administrative & Lifestyle Management • Coordinate complex calendars, travel itineraries, and private aviation for Principals and extended family • Plan and support special events, including holidays, private dinners, and family celebrations • Oversee administrative systems including invoice approvals, reporting, and documentation • Provide occasional travel support and 24/7 availability during active periods or while the principals are in residence Staffing & Service Standards • Recruit, train, and supervise a high-performing household team across all properties • Manage scheduling, payroll, and performance standards in collaboration with HR or family office teams • Implement consistent service protocols and lead with a high-touch, hospitality-first mindset • Ensure all staff uphold confidentiality, professionalism, and discretion at the highest level Qualifications • 10–15+ years of experience managing multiple luxury estates or properties for UHNW clients • Strong leadership and project management capabilities, with a systems-driven approach • Experience with smart home technologies, luxury service environments, and team development • Proficient in property and collections management software • Impeccable judgment, discretion, and ability to operate with autonomy and integrity • Willingness to travel and provide hands-on leadership across properties as needed You can use WorkGrades to collect and manage your references for free and share them with us or anyone else you choose by visiting workgrades.com/home/candidate.
