The Purpose:

We are seeking an energetic and detail-oriented Recruiting and Office Coordinator to support our recruiting team and the San Mateo office. This role blends recruiting coordination, office engagement, food/events logistics, and broad administrative support. The right candidate is highly organized, proactive, and enthusiastic about delivering excellent service to both candidates and team members. This is a full time, in-person position that requires being in the office 3-4 days per week.

What You'll Do:

Recruiting Coordination Schedule and coordinate candidate interviews and communications using Greenhouse ATS Maintain accurate recruiting documentation and records Support candidate travel, background checks, onboarding, and logistics as needed Coordinate and schedule candidate interviews using Greenhouse ATS. Send candidate surveys daily to help gather feedback on improving the overall candidate experience Review entry level applications to assess candidates' qualifications Provide insights and recommendations for continuous improvement Office Engagement & Food Logistics Plan, stock, and order office snacks and beverages. Coordinate and order office lunches (~2 days/week). Organize in-office events and happy hours. Oversee setup and cleanup for team meetings and special events. Facilities & Administrative Support Submit and track facility requests using facilities reporting systems. Monitor common areas, office supplies, and escalate issues as needed. Perform administrative duties as assigned, including calendaring, scheduling meetings, and special HR projects. Prepare presentations, brochures, booklets, and other support materials for HR initiatives Keep conference rooms stocked, organized, and whiteboards cleaned Welcome candidates and other visitors to the office Break down cardboard, light cleaning as needed Other Duties Assist company with social media posts as needed On site safety coordinator Other duties as assigned

What We're Looking For:

Bachelor’s degree or equivalent experience preferred. 1+ years’ experience in customer-facing, hospitality, office support, or similar roles. Excellent verbal and written communication skills. Experience with Greenhouse or similar applicant tracking systems is a plus. Demonstrates basic technical proficiency (Microsoft Office, Google Suite, or similar). Highly organized and detail-oriented. Approachable, resourceful, and collaborative. Comfortable supporting ad hoc requests in a fast-paced environment. Comfortable interacting with team members at all levels. Ability to lift and carry up to 50lbs for event or supply setup.

LOCATION: San Mateo, CA

Hybrid schedule visiting our San Mateo office four days a week (Mon-Thurs).

The expected hourly rate for this role is $20 an hour.
