Position Overview JS Sullivan Development is seeking an experienced and highly organized Executive Coordinator to provide direct support to the Managing Principal. This part-time, in-office position is available immediately. The Executive Coordinator will help manage day-to-day priorities, track tasks across departments, and coordinate a range of administrative, personal, and project-related tasks with discretion and efficiency. The ideal candidate is proactive, adaptable, and detail-oriented, with excellent follow-through, strong judgment, and a proven ability to handle sensitive and confidential information with professionalism. Responsibilities Provide administrative and personal assistance to the Managing Principal, including calendar management, inbox monitoring, and timely follow-up on ongoing items Serve as the Managing Principal’s primary point of contact for coordinating, tracking, and following up on tasks and priorities across departments and teams Assist with project coordination and help ensure timely completion of action items Track and manage orders, deliveries, and related vendor coordination Assist with personal and company insurance renewals and related documentation Support expense tracking, expense reporting, and light accounting tasks Provide assistance with basic legal document coordination and recordkeeping Oversee day-to-day office and facilities needs, including ordering, restocking supplies, and vendor management Manage regular printing and document preparation tasks Run business-related errands as needed Assist with personal projects and one-off requests Support special projects and ad hoc tasks as assigned Qualifications & Personal Characteristics 3+ years of experience in an executive support or high-level administrative role Bachelor’s degree or equivalent experience preferred Proven ability to handle confidential information with discretion and professionalism Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Excellent written and verbal communication skills Strong organizational skills with exceptional attention to detail and follow-through Ability to prioritize and manage multiple responsibilities independently Professional, proactive, and resourceful approach to problem-solving Positive attitude and commitment to supporting the Managing Principal’s day-to-day needs Company Overview JS Sullivan Development is a privately operated real estate development and construction company specializing in the ground-up development of urban infill multifamily condominium projects in San Francisco.
